You can add photos from your Windows or Mac machine, Microsoft’s stock images repository, or the internet. You can then reposition and resize your images, so they fit your slides.

Add Photos to Make Your PowerPoint Presentations Aesthetically Pleasing

Your presentations don’t have to be boring. Luckily, PowerPoint offers various options to help you turn your slides into something your audience will enjoy watching . One of these options is to add photos to your slides, and you can choose your pictures from various sources.

Once you’ve added your images, you can customize their appearance so they blend well with your presentation’s existing content. Happy presenting!

How to Insert an Image into a PowerPoint Presentation

(Note: S uitable for users of PowerPoint 2016, 2019, 2021, and PowerPoint for Microsoft 365 . )

Liven up a presentation by inserting an image and formatting it to convey a message or idea.

The Images in PowerPoint Explained

Imagery can be used in PowerPoint presentations to convey a message or idea. In general, most people find it easier to remember images than text. Images can be professional or creative and fun to make your presentation memorable.

Check the Copyright

We must be careful about what images we use in our presentation and where those images come from. When we need an image to represent an idea, most of us jump straight onto Google, search for a keyword, download the image, and add it to our presentation. This is where we can run into copyright issues.

For example, if we are creating a YouTube video that contains a PowerPoint presentation and we’ve used a copyrighted image, we leave ourselves open to problems because YouTube is a monetized platform. Similarly, if we use a copyrighted image in a pitch presentation, that could also be seen as benefitting financially from someone else’s work.

If we decide to use an image we found on Google, we need to check the copyright on the image. Many images are free for personal use only and cannot be used in commercial projects. Other images require us to attribute the image owner somewhere in the presentation.

In the example below, we have googled for an image of a ‘funny cat’. All results that match these keywords will be returned. We can filter the image by Usage Rights and then check the copyright on a specific image.

  • Type the search term into Google.
  • Click the Images tab.
  • Click the drop-down arrow next to Usage Rights .

powerpoint presentation insert picture

  • Select Creative Commons licenses .
  • Click on the image you want to use.

powerpoint presentation insert picture

  • Click License details .

This page will show us what we can and can’t do with this image.

We can share, copy and redistribute the material in any format as long as we follow the license terms listed below. So, if we want to use this image in a presentation, we must give appropriate credit to the owner and link to the license, and we can’t use it in commercial presentations (anything where we benefit financially).

powerpoint presentation insert picture

The process of finding an image this way can be long, tedious, and disheartening.

Ideally, we want to avoid these issues by only using images that are free to use in personal and commercial projects.

I highly recommend both Pexels and Unsplash for royalty-free images that can be used in any project without attribution. Both of these websites offer high-quality images that can be used in presentations.

Insert an Image Into a PowerPoint Presentation

We can insert images into our presentations in a number of different ways: using the Insert ribbon, using the Screenshot tool, or Copy and Paste .

Insert an Image Using the Insert Ribbon

We can insert an image into a presentation using the Insert ribbon. We have three options: This Device , Stock Images or Online Pictures .

If we have an image stored in a folder on our PC, we can insert the image using the This Device option.

  • From the Insert tab in the Illustrations group, click the drop-down arrow under Pictures .
  • Select This Device from the menu.

powerpoint presentation insert picture

  • Navigate to the folder where the image is stored.
  • Select the image.
  • Click the Insert button.

powerpoint presentation insert picture

The selected image will be inserted into the slide.

powerpoint presentation insert picture

We can use the Picture Format ribbon to format the image.

powerpoint presentation insert picture

In the example below, we’ve resized the image, added a white border and glow effect, and changed the color saturation.

powerpoint presentation insert picture

If we don’t have an image of our own to use, we can choose an image from the Stock Image library in PowerPoint. Stock Images are a fairly new feature in PowerPoint. The images available in the Stock Image library are licensed by Microsoft from Getty, and possibly other sources, to be offered to PPT users in their presentations.

  • From the Insert tab in the Illustrations group, click the drop-down arrow underneath Picture .

Select Stock Images from the menu.

The Stock Image library will open. Stock Images are high-quality images and are grouped into categories. Click on the category headings to browse the images or search for something specific using the search bar.

powerpoint presentation insert picture

  • Click on an image to select.

powerpoint presentation insert picture

The third option for sourcing images in PowerPoint is to search online. As we mentioned at the beginning of this article, this can come with some major pain points with regard to determining the copyright of an online image and if it can be used.

  • Select Online Pictures from the menu.
  • Choose a category to browse or type a keyword into the search bar.

It’s important to ensure we select the Creative Commons only checkbox. This will filter the results and show only photos that have license details attached under Creative Commons.

powerpoint presentation insert picture

  • Select an image.

In more recent updates of PowerPoint, additional image categories have been added: Icons , Cutout People , Stickers , Video , Illustrations, and Cartoon People .

Icons are scalable vector graphics that can be inserted into our presentation. We can resize them, change the color and apply formatting. PowerPoint contains hundreds of free-to-use icons that can really liven up a presentation.

  • Click the Icons tab.

powerpoint presentation insert picture

Icons can be used in many different ways to add interest and visually communicate with the audience.

powerpoint presentation insert picture

Cutout People helps us bring our presentation to life using cutout images of people. Add any of the 24 smiling faces to the presentation to convey the emotion of the content. Cutout people have transparent backgrounds so they can be placed on top of any image for a seamless look.

  • Click the Cutout People tab.

powerpoint presentation insert picture

Use Cutout People in any presentation to increase engagement and interest in the subject matter.

We also have a gallery of Stickers to add a fun element to our PowerPoint presentations.

  • Click the Stickers tab.
  • Select a sticker.

powerpoint presentation insert picture

We can add hyperlinks to stickers and essentially turn them into clickable buttons. In this example, customers click on the jellyfish sticker to jump to the presentation’s first slide.

powerpoint presentation insert picture

Video is a very popular way to communicate an idea or a message. We can even use Video in PowerPoint to create motion backgrounds so our slides look and feel more dynamic and interesting.

  • Click the Videos tab.
  • Select a video.

powerpoint presentation insert picture

The video will be added to the slide. We can play the video, rewind, and fast-forward using the playback controls underneath.

powerpoint presentation insert picture

When we click on the video, we can see two contextual ribbons: Video Format and Playback .

The Video Format ribbon contains different formatting tools. We can apply a video style, add a border, change the video shape, and make minor color adjustments.

powerpoint presentation insert picture

The Playback ribbon controls how the video plays. We can trim the video, apply a fade in/fade out, loop the video, insert captions, adjust the volume, and determine if we want the video to start as soon as the slide loads.

powerpoint presentation insert picture

Illustrations can add creative flair to our presentations and can be used in many ways.

  • Click the Illustrations tab.
  • Select an illustration.

powerpoint presentation insert picture

By default, all illustrations in the gallery show a yellow accent. We can change this once we have inserted the illustration into our presentation.

  • Select the illustration.
  • From the Graphics Format tab, in the Graphics Styles group, click the drop-down arrow next to Graphics Fill .
  • Choose a color from the palette.

powerpoint presentation insert picture

Cartoon People is the latest image gallery to be added to PowerPoint. Using Cartoon People, we can build our own customized cartoon characters for use in our presentations. Select from different bodies, heads, facial expressions, clothing, and activities.

  • Click the Cartoon People tab.
  • Select one or more images.

powerpoint presentation insert picture

In the example below, we have inserted the image of the bike, a head, and a facial expression. We can combine them together seamlessly to create our customized character.

powerpoint presentation insert picture

Another way we can insert an image into a presentation is to use the screenshot tool. We can take a screenshot of a window we currently have open or ‘clip’ part of a window.

  • From the Insert tab in the Illustrations group, click the Screenshot button.

PowerPoint will display the other PowerPoint windows we currently have open.

powerpoint presentation insert picture

We can take a screenshot of any open PowerPoint presentation simply by selecting the thumbnail.

The screenshot is treated as a Picture and can be formatted like any other picture using the Picture Format ribbon.

powerpoint presentation insert picture

What if we want to take a screenshot of something other than a PowerPoint window? Maybe we want to screenshot something we’ve seen online or part of a PDF? For this, we can use the Screen Clipping tool.

The important thing to note about Screen Clipping is that whatever we want to ‘clip’ must be open directly behind the current active PowerPoint window. This is because PowerPoint minimizes when we select Screen Clipping to reveal the window behind. We cannot switch to another window using Alt+Tab .

  • Click Screen Clipping .

PowerPoint will minimize and reveal the window behind. The cursor will change to a crosshair, and a transparent overlay will ‘ghost’ over the window.

powerpoint presentation insert picture

  • Click and drag the crosshair to select the part of the window to clip.

powerpoint presentation insert picture

Insert an Image Using Copy and Paste

We can also insert images from other Microsoft applications and from the web into our slides using Copy (CTRL+C) and Paste (CTRL+V).

For example, maybe I want to grab an image of Africa from the Wikipedia page about the Sahara Desert.

  • Go to www.wikipedia.com and search for the Sahara Desert.
  • Scroll to the image.
  • Right-click on the image and select Copy Image from the contextual menu.

powerpoint presentation insert picture

  • Go back to the PowerPoint presentation.
  • Press CTRL+V to paste.

powerpoint presentation insert picture

When using this method of inserting images, ensure you check the copyright and licensing for the image as outlined at the beginning of this article.

Key Takeaways:

Why is it important to use pictures on slides.

Incorporating pictures on slides is crucial for enhancing the visual appeal and effectiveness of a PowerPoint presentation by engaging the audience and aiding in information retention.

Enhances Visual Appeal

The use of pictures on slides enhances the visual appeal of a presentation, capturing the audience’s attention and conveying information more effectively.

By integrating relevant images within the slides, the audience’s engagement level increases significantly. Visual elements have the power to evoke emotions, stimulate interest, and assist in retaining key information. When coupled with informative text, pictures not only make the content more visually appealing but also aid in better data recall and comprehension. This blend of images and text creates a dynamic and engaging presentation that effectively communicates the intended message.

Increases Audience Engagement

Utilizing pictures on slides increases audience engagement by providing visual stimuli that resonate with viewers, making the presentation more compelling and memorable.

Eye-catching images not only grab attention but also enhance understanding, making the overall presentation experience more interactive and impactful.

Helps in Retaining Information

How to insert pictures on slides in powerpoint.

Inserting pictures on slides in PowerPoint can be done through various methods, such as using the ‘Insert’ tab or employing drag-and-drop functionality, offering flexibility in enhancing slide layouts.

When using the ‘Insert’ tab, simply navigate to the ‘Pictures’ option to select an image from your computer or online sources. You can also choose ‘Online Pictures’ to search for images directly from Bing. To align and resize the picture, utilize the sizing handles that appear around it. Alternatively, for a quick way to add visuals, you can drag and drop an image file directly onto your slide. This method allows for instant positioning and adjustment, helping you achieve a polished and professional slide design.

Using the ‘Insert’ Tab

Upon selecting the ‘Insert’ tab, a range of options becomes available, including ‘Pictures’ which allows you to choose an image from your computer or online sources. The ‘Online Pictures’ feature enables you to search for images on the web directly within PowerPoint. You can also add images from your OneDrive or Flickr accounts seamlessly. The ‘Screenshot’ tool helps you capture and insert specific parts of your screen, while ‘Photo Album’ assists in creating a gallery of pictures for your slideshow.

Drag-and-drop Method

This user-friendly feature significantly streamlines the process of enhancing slides with visuals. To use this method, simply locate the desired image file on your computer, drag it over to the slide where you want it to appear, and then drop it into place – it’s that simple ! This hands-on approach eliminates the need for navigating through menus, saving precious time and making the task more intuitive. With just a few clicks, your presentation can come to life with vibrant visuals right at your fingertips.

Copy and Paste Method

It is as easy as selecting the desired image, right-clicking on it, choosing ‘Copy,’ then navigating to the slide where you want to insert the image, and right-clicking again to choose ‘Paste.’

This efficient technique allows you to seamlessly integrate visuals into your slides without the hassle of complicated procedures or specialized skills. By using the copy-and-paste method, you can save time and effort while customizing your presentations with impactful graphics that enhance audience engagement and understanding.

Best Practices for Using Pictures on Slides

Pay attention to the sizing of the images to maintain visual balance and coherence within the slide layout. Incorporating appropriately sized  images can help avoid distortion and overcrowding, allowing each visual element to stand out and contribute to the overall visual appeal of the presentation.

Use High-Quality Images

When incorporating images into your PowerPoint presentation, it is crucial to consider the resolution and quality to avoid pixelation or distortion. High-quality images enhance the overall design aesthetic, making your slides visually appealing and captivating. Utilizing sharp and clear photos or graphics can help reinforce your message effectively and keep your audience engaged.

Professionally curated images can also lend credibility to your content, demonstrating attention to detail and a commitment to quality. Remember, visual elements play a significant role in conveying information, evoking emotions, and enhancing audience retention rates during presentations.

Keep it Relevant to the Content

By strategically placing visuals alongside the corresponding text or talking points, the PowerPoint presentation gains visual reinforcement of the spoken words, thus enhancing the overall coherence and unity of the message being delivered. This harmonious blend of words and images not only captivates the audience but also aids in clarifying complex concepts or data.

Use Appropriate Image Size

In terms of design aesthetics , consider the layout and composition of the slide. Larger images work well as a focal point, while smaller ones can complement text. Strive for a harmonious blend of visuals that support your message without overwhelming the audience.

Avoid Copyright Infringement

Always remember to provide clear attribution for any images that you include in your PowerPoint slides. This can be done by citing the source of the image on the slide itself or in the notes section, acknowledging the original creator.

Tips and Tricks for Customizing Pictures on Slides

Adding borders to images in your PowerPoint slides can help create a polished and professional look. By selecting the picture, navigating to the ‘Format’ tab, and choosing a suitable border style, you can instantly elevate the visual appeal of your slides.

Adding Borders and Frames

Enhancing pictures on slides with borders and frames in PowerPoint adds a decorative element that can accentuate visual appeal and create a cohesive design theme for the presentation.

Adjusting Image Brightness and Contrast

Adjusting the brightness and contrast of images is a key step in optimizing your visuals within a presentation. When you balance these elements effectively, it can significantly improve the overall quality and impact of your slides. By increasing brightness, you can make images appear more vibrant and stand out on the screen while adjusting contrast levels helps to bring out details and enhance the depth of the visuals. This careful adjustment not only ensures that your audience can better see and understand the content but also adds a professional touch to your presentation.

Cropping and Resizing Images

Common mistakes to avoid when inserting pictures on slides.

When inserting pictures on slides in PowerPoint, it is essential to avoid common mistakes such as using low-quality images, overcrowding slides with visuals, and neglecting to credit image sources for ethical presentation practices.

Using Low-Quality Images

Utilizing low-quality images on slides in PowerPoint can diminish the visual impact and professionalism of a presentation, affecting audience engagement and overall message delivery.

Overloading Slides with Images

Overloading slides with excess images in PowerPoint can overwhelm viewers, dilute key messages, and detract from the overall presentation effectiveness, necessitating a balanced visual content approach.

Not Crediting the Source of the Image

When presenting information in a professional or academic setting, it is crucial to acknowledge the creators of the visual content used in your slides. Neglecting to do so not only violates copyright laws but also raises ethical concerns about plagiarism and intellectual property rights. By crediting image sources , you not only respect the original artist’s work but also showcase integrity and credibility in your presentations.

When you use images in your slideshows, you want them to be attractive. One way is to combine a shape with your image. You can easily insert and crop an image to fit or fill a shape in PowerPoint.

After creating the shape that you want to insert an image into, you'll actually fill the shape with the image.

Select the shape and go to the Shape Format tab that displays. Click "Shape Fill" in the Shape Styles section of the ribbon and choose "Picture."

Go to Shape Fill and select Picture

Pick From a File, Stock Images, Online Pictures, or From Icons, depending on the picture that you'd like to use. Select the image and click "Insert."

Choose the location for the image

The image that you picked will then fill the shape. Now, you can adjust how the image is formatted within the shape using two actions: Fill or Fit.

Shape filled with an image in PowerPoint

Fill or Fit the Image in the Shape

When you "Fill" a shape with an image, this adjusts the picture size to match the shape's height or width, whichever is greatest. When you "Fit" a shape with an image, this adjusts the picture size so that both the height and width match the shape.

Click the image within the shape and go to the Picture Format tab that appears. Then, click the arrow below "Crop" in the Size section of the ribbon and choose either "Fill" or "Fit."

Click Crop and pick Fill or Fit

You'll notice that Fill and Fit each provide quite a different appearance. Since this is an optional step after inserting the image into the shape, choose the best option for you.

Picture shape Fill and Fit comparison

If you have an image that you want to crop into a shape in your slideshow, you can do this as well.

Select the image and go to the Picture Format tab. Click the arrow below "Crop" in the Size section of the ribbon and choose "Crop to Shape." Choose the shape that you want to use in the pop-out menu.

Click Crop as Shape and pick a shape

The image will immediately update into that shape.

You can then select the image and use the tools on the Picture Format tab, or you can right-click to open the Format Picture sidebar to add some pizzazz.

How To Insert Many Pictures into Individual Slides in PowerPoint

How To Insert Many Pictures into Individual Slides in PowerPoint

There are many reasons why you may be interested to insert many pictures into individual slides at once using PowerPoint . For example, if you’d like to protect your PowerPoint presentations by avoiding users to change editable fields or data values, then importing the slides as pictures into a new presentation could be a possible approach.

If you want to import hundreds of pictures into PowerPoint slides then it can be really tedious to add each picture file as as an individual slide. However, here we propose a method that let you easily import multiple photos or picture files into PowerPoint as individual slides . The best of this is that you just need to select which files to import from your hard disk (doesn’t matter if it is only one file or 100’s of files) and then PowerPoint will insert all the pictures into individual slides.

Using Photo Album to Batch Import Many Pictures into PowerPoint

Photo Album is a feature available in Microsoft PowerPoint that let you create a photo album from picture files easily. This can be very handy for people who want to create a family photo album but it is also a very powerful tool for professional presenters that need to import many pictures as slides. You can also use this approach to insert multiple pictures into PowerPoint on different slides.

1. Go to Insert > New Photo Album in PowerPoint

Let’s start creating a New Photo Album. Go to Insert -> Photo Album -> New Photo Album and then a new dialog box will appear.

Inserting Pictures in PowerPoint as Individual Slides

2. Choose the Picture Files to Insert as PowerPoint Slides

Below is an example of the Photo Album dialog box where you can setup how to build a photo album, select the pictures to include in the album, choose the layout and see a preview. If you need help creating the images you can use an AI Image Generator .

Insert Many Pictures at Once in PowerPoint 2013

Now, click File/Disk to pick picture files from your computer. This new file dialog let you select which files will be inserted in the album. As soon as you pick the files and accept the changes the pictures will be displayed under Pictures in album check list.

Using Photo Album to Insert Pictures in PowerPoint

For this example we have exported all the slides from Metro Dashboard template to JPG images and saved them in our local hard disk. Then, we chose all these JPG images in order to make a new photo album following this approach.

How to insert multiple pictures into PowerPoint on different slides at once

You can use the File Dialog to save multiple files at once (keep Shift key pressed and then select all the files) and then the file names will appear in the file name text box. Then click All Pictures and these files will be selected for the photo album.

3. Choose Fit to Slide Option in Picture Layout

Unless you want to import many pictures in the same slide, make sure to choose Fit to slide option under the Album Layout section in the Edit Photo Album dialog. This will make the pictures to fit the whole slides making them look as the original presentation file but using a background image instead.

Tip: If you want to protect your presentations from edit then you can use this method proposed here to include pictures as PowerPoint slides removing any editable field from the PowerPoint presentation. This can be good while sharing a PowerPoint presentation with colleagues and co-workers for review or sharing a PowerPoint online and at the same time prevent the original file to be copied or edited. Interestingly, this method can be safer than other methods which involve protecting presentation files with password or converting the presentation to slideshow (.ppsx).

The method proposed here let you convert multiple images you have in your hard disk to PowerPoint slides without losing too much time (only a few clicks are required if you have the picture files already saved in your hard disk). Also, this method can be used if you need to add multiple images to an existing PowerPoint presentation .

Protect a PowerPoint Presentation by Inserting Pictures as Individual Slides

If you want to protect PowerPoint presentations by inserting slide pictures as individual slides without editable elements then you can follow the instructions below:

  • Open the original presentation (the presentation file you want to protect).
  • Go to File -> Save As and save PowerPoint Slides as Images.
  • Choose the output folder where presentation files will be saved.
  • Open a Blank Presentation in PowerPoint
  • Go to Insert -> Photo Album -> New Photo Album
  • Using the method proposed in this article, insert all the images previously saved in your hard disk.
  • Save the new presentation with a new file name by going to File -> Save As and now choose the .pptx file format. We recommend you to identify the file name with a suffix my-presentation-noedit.pptx or something like that, in order to recognize easily that it is the modified version.

Now you can safely share the presentation with any colleague, co-worker or classmate or even publish the PowerPoint online.

Protecting the images using this approach does not guarantee someone won’t be able to edit the images. It is not the same as protecting the document with advanced protection mechanisms, for example, the ones that you could get by using digital signature protection. The protection mechanism we describe here is a high-level solution to prevent images from accidentally moving among the slide canvas.

The screenshot below shows an example we have created following the steps above. As you can see, the final result looks very close to the original template. The only difference for the end user is that the slides appear as images and there are no editable fields. Shapes nor pictures inside the dashboard can not be copied neither.

PowerPoint Background Example Metro Dashboard

Alternatively, if you are looking for an additional layer of protection for your presentation, you may consider adding a watermark picture on top of each slide. This can be easily accomplished with the use of an AI picture generator or other graphic design tools. You can also insert a watermark in PowerPoint . Be sure to add the watermark before exporting the slides as JPG images to ensure that the watermark cannot be edited along with the background pictures.

This feature is only available on Windows versions of Microsoft PowerPoint but if you are a Mac user then there is a workaround. You can use the Batch Image Importer tool provided by Andrea Frank from Boston College or a batch import images add-in for PowerPoint on Mac.

How can i do this in Powerpoint 2016 mac, that does not have the PhotoAlbum button

Use Keynote which is included Free when you install OS X then export as pptx if you wish

Thanks! This is the best suggestion yet for mac users!

What is the 2016 version of this? I have no album option anywhere. I only have Photo Browser and Picture from File.

This works fine to load a100 images into separate slides in seconds, and fit them to the frames. However many of the images then show as very coarse, as though only a thumbprint had been expanded. I can get the full detail of the images back by “changing” the image to the same file.

Second try. This works fine, except that many slides show the images as very coarse, as if a thumbprint had been expanded. How can I get the full details of the images into the slides? I can get around this by “changing” the image for the original file, when all comes right, but this is a nuisance! Thanks Sean Karley

3/17/2018 Sean: i am having the same problem. i loaded 200 slides and about 30% of them were very coarse. i think this occurs because the default setting in Power Point 2016 is to “compress pics” to 220kb? I couldn’t figure out how to prevent this in advance of creating the new photo album, because when you hit the “create” tab, it automatically creates a “new” presentation, with the auto-compress feature as the default. so i had to use your work-around (“change picture” option) to correct all the coarse photos. definitely a nuisance.

I am able to create ppt but in black and white. How to change this into colour photos and what is the options.

I do believe all of the ideas you have presented to your post. They’re really convincing and will definitely work. Nonetheless, thhe posts are very quick for starters. Could you please lengthen them a little from subsequent time?

Thanks for tthe post.

This is great, a big timesaver – thanks so much!

Nope. I have PP 2020 and there NO “photo album” button. I taught MS Office back in the 90s – Powerpoint, Word, Excel, Access, Outlook. It was brilliant and worked effortlessly. It’s got progressively worse since then. I find it surprising MS even still in business, appalling.

Insert a Picture Inside Text on a PowerPoint Slide

Add some pizzazz to your PowerPoint text

  • Brock University

A PowerPoint presentation is all about text and images on a slide. When you want to create a cool effect and make your presentation pop, combine your text with your pictures. All you need is some simple, informative text on the slide and a great picture used as the font color. Using a picture as a fill for text draws extra attention to a slide or an individual word.

Instructions in this article apply to PowerPoint 2019, 2016, 2013, 2010, 2007; PowerPoint for Microsoft 365, and PowerPoint Online.

Add a Picture Fill to Text

When you use a picture as a fill for text, format your text so that it is large and bold. Choose a fat font, such as Arial Black or Broadway, that has thick lines. When you use a font with a thick line, more of your picture will show inside each letter.

Select the text on the slide.

Go to Drawing Tools Format .

In the WordArt Styles group, select the Text Fill dropdown arrow and choose Picture .

In the Insert Pictures dialog box, choose one of the options to insert a picture: From a file , Bing Image Search , or OneDrive - Personal . In PowerPoint 2019, your choices are From a File , Online Pictures , and From Icons .

To use a picture on your computer, select From a File , choose the picture file, and select Insert . The picture is inserted into the text on the slide.

To insert an image found on the web, select Bing Image Search or Online Pictures , enter your search parameters for the desired picture (in this example tie-dye is entered), and select the magnifying glass or press Enter .

Scroll through the results and choose an image. Once you find the image you want, select Insert .

Leave the filter to Creative Commons only to avoid using copyrighted images.

To insert a picture you've saved to OneDrive, select OneDrive - Personal . In PowerPoint 2019, choose From a File .

Navigate through any folders within OneDrive to locate a picture. Once you have found a picture to use, choose it and select Insert .

If you are not satisfied with the end result, press Ctrl + Z to undo the text fill and repeat these steps to choose a different picture.

Having a picture inserted into the PowerPoint text entices your audience to look closer at your presentation and adds a uniqueness that will hold their attention.

How to use Microsoft PowerPoint

How to use Microsoft PowerPoint on a monitor.

Creating a successful slideshow is no small task. So, if you’re new to Microsoft PowerPoint, you’ll need to familiarize yourself with the features and tools you need to build a presentation.

How to create a slideshow

How to add a slide, how to insert slide elements, how to use different views, how to add speaker notes, how to start and end a presentation.

We’ll guide you through the process of creating a PowerPoint slideshow by adding slides and elements as well as how to present the show when you finish. These basics are just what you need as a beginner and should get you off to a terrific start with PowerPoint.

Note : The information in this tutorial applies to PowerPoint for Microsoft 365 on Windows. While you may see variations in features or menus, most PowerPoint versions have the same basic options.

When you open the application, you can create a new blank slideshow or use a built-in PowerPoint template . To best familiarize yourself with the application and the items we’ll walk through here, select a Blank slideshow on the Home screen and follow along.

Next, you’ll want to name and save your presentation file. Select File > Save or Save As name the file on the right, choose a location for it, and select Save .

Be sure to continue saving your slideshow regularly as you work on it by selecting Save in the Quick Access Toolbar.

A Blank presentation in PowerPoint starts you off with a main slide. You’ll notice a text box at the top for the title and one beneath for the subtitle. Simply click inside these boxes to enter your text.

While it’s good to get in the habit of using title slides like these to begin future presentations, you’ll also need to know how to insert the additional slides.

Go to either the Home or Insert tab and open the New Slide menu in the ribbon.

Choose the layout you want to use for the new slide. You’ll see several options that include placeholders, which is handy for popping in what you need like text, lists, or images.

Once the slide appears, click inside a placeholder to add the necessary elements.

Continue to insert as many slides as you want the same way.

Along with using the placeholders on the slides, you can add your own items. This is helpful if a slide doesn’t contain the number or type of placeholders you need.

Add a text box

One popular slide element to add is a text box, which is just like the title and subtitle boxes on the title slide. With it, you can insert and format text as you wish.

Go to the Insert tab and select Text box in the Text group.

You can use your cursor to draw the size of the box you want or simply click the slide and begin typing inside the box.

To format the text in the box, select it and go to the Home tab. Use the options in the Font section of the ribbon to adjust the style, size, color, or emphasis.

Specific to PowerPoint on Windows, you’ll also see a floating toolbar appear near the text that you select. This toolbar contains the same features as on the Home tab along with additional options.

Add images, shapes, and icons

Because a slideshow is a visual tool, you’ll likely want to add photos, illustrations, shapes, or icons to slides.

Go to the Insert tab and open the Pictures , Shapes , or Icons menu.

  • Pictures : Pick an image from your device, one of the stock images, or an online picture and select Insert .
  • Shapes : Pick a shape from the menu and use your cursor to draw it on the slide.
  • Icons : Search or use the categories to find the icon, select it, and click Insert .

Once you insert one of the above on your slide, you’ll see the corresponding tab appear to format the object. For pictures, you have a Picture Format tab, for shapes, you have a Shape Format tab, and for icons, you have a Graphics Format tab.

You can use the tools in the ribbon to do things like change the color, add a border, align or rotate the object, and resize it.

Add audio or video

Another useful object to add to your slides is an audio file or video. You can then play the sound or video clip during your presentation.

Go to the Insert tab and open the Audio or Video menu.

  • Audio : Pick an audio file on your device or record audio on the spot.
  • Video : Pick a video from your device, one of the stock videos, or an online video and select Insert .

Like with images and shapes, you’ll see tabs appear to format the file you insert. For audio, you have an Audio Format tab, for video, you have a Video Format tab, and for both types of files, you have a Playback tab.

Use the Format tabs to adjust the color, add a border, or apply an effect and the Playback tab to set a fade in or out effect, loop the playback, or play it in the background.

You can take advantage of different views in PowerPoint for accomplishing various tasks. This is helpful for seeing all of your slides in a grid, viewing a notes page, or working with an outline.

Go to the View tab and you’ll see the options in the Presentation Views group.

  • Normal : Use this to create and edit your slides.
  • Outline View : Use this to work with an outline of your presentation. Each slide is numbered with a hierarchy of slide elements.
  • Slide Sorter : Use this to see your slides in a grid format for an overall slideshow view.
  • Notes Page : Use this to view your presentation with notes if you decide to print it .
  • Reading View : Use this to play your slideshow in the same window without entering full-screen mode.

Use the tools in the Show section of the View tab to display a Ruler , Gridlines , or Guides . These items can help you line up your slide elements.

You can also select the Zoom and Fit to Window options in the Zoom section of the ribbon to get a better view of slide items or the overall slide.

Presenting a slideshow is similar to giving a speech where you may want to use speaker notes. Like note cards, you can add notes to each slide in your presentation. When you present the slideshow, only you can view your notes; your audience cannot see them.

Select Notes in the Status Bar at the bottom of the PowerPoint window or go to View > Notes .

Add your notes in the section that appears below the slide.

You can use the options in the Font section of the Home tab to add emphasis or create a list.

For more detail, check out our how-to for adding notes in PowerPoint .

When you’re ready to present your PowerPoint slideshow or to see it as your audience will, you can start the presentation anytime.

Go to the Slide Show tab.

To display your speaker notes and a dashboard of controls while you present, check the box for Use Presenter View in the Monitors section. Then, select the monitors for the slideshow display and presenter view using the Monitor drop-down menu.

On the left side of the ribbon, pick From Beginning or From Current Slide per your preference.

When the slideshow starts, you’ll see what your audience sees on one monitor with Presenter View on the other. This is a super helpful way to present your slideshow because the Presenter View window provides you with controls.

If you’re unable to use more than one monitor, you’ll also see controls on the bottom left of the slides.

In the Presenter View window, you’ll see the current slide on the left with the controls beneath and the next slide on the right along with your speaker notes.

To use a control, hover your cursor over each button for a brief description.

From left to right, you can choose a laser pointer or pen, see all slides in a grid, zoom in on the slide, display a black screen, turn the subtitles or camera on or off, and view additional options like changing the subtitle settings or ending the presentation.

To stop presentation mode, press your Esc key, select End Slide Show at the top, or use the three dots to choose End Show .

While this beginner’s guide to using PowerPoint should get you off to a great start creating and presenting your first slideshow, there’s plenty more to learn. Microsoft hasn't been shy about pushing first-party services and apps in Windows, but this time, it's getting a little ridiculous. As reported by Windows Latest, the Microsoft application PC Manager claims you can "fix" your computer simply by changing Bing to be the default search engine.

The change was spotted when using the Edge browser and having, for example, Google as the default search engine. After you run a health check, one of the suggested changes will be to set Bing as your default search engine. If that's how you want to go, there's a button to make it happen.

In its Annual Work Trend Index, Microsoft has, unsurprisingly, published some fresh data around AI in the workplace. The big stat is that according to its survey, 75% of "knowledge workers" are already using generative AI at work, with that number doubling in the last six months alone.

The survey defines "knowledge workers" as "those who typically work at a desk (whether in an office or at home)," which is a pretty broad demographic.

Microsoft Teams was introduced in 2017 as a unified communication and collaboration platform aimed at helping businesses and organizations get things done. Microsoft leveraged the company's existing Office software experience and created a unified experience between Teams, Office 365, and Skype for Business. However, as with all software, things don't always go according to plan. Sometimes you can run into Teams problems.

We're big Teams users here at Digital Trends -- it's our go-to communication and meeting tool -- and we've come across a few issues ourselves over the years. In the event you're having Microsoft Teams issues, here's how to fix some of the most common problems.

In my experience, collage layouts are a creative way to add many images to your slides. But how do you make a photo slideshow in PowerPoint?

Add several photos to the slide to create a slideshow or collage PowerPoint layout. Then, organize them like you would with a paper collage or a scrapbook. I prefer to save time using a premium pre-made PowerPoint photo collage template.

Pictures Template

Using PowerPoint collage layouts can make presentations more visually appealing. This effortlessly creates a dynamic feel, keeping your audience interested and engaged.

Plus, a PowerPoint collage template makes your presentation stand out. Most of your peers will stick to a more traditional slide layout of an image next to a text block.

I've seen photo collage PowerPoint layouts often come in handy for creative professionals. Here are a few examples:

  • when presenting past projects such as design or illustrative work
  • when showcasing photos from an event
  • when sharing photos of different products or services

As I mentioned, a PowerPoint picture collage is a great way to add many images with minimal slides. Let's examine how to create a collage layout in PowerPoint quickly.

For this tutorial, I’ll be using the Mouve PowerPoint template from Envato Elements.

Mouve PowerPoint Template

This is a clean modern PowerPoint template that's suitable for all kinds of presentations. Let's get started:

1. Create a New Blank Slide

Insert a new blank slide

First things first. Open your PowerPoint template. Then click on the Insert tab. Select New Slide, and from the drop-down menu, choose a blank slide.

This gives you a clean slate to start with.

2. Load Your Images

Next, load all the images you want to use in your photo collage into your PowerPoint template.

On the Insert tab, select Pictures > Picture From File . Locate the folder with the pictures on your computer. Press Control-A to select all the images in that folder, and then press Insert .

Inserting pictures into your PowerPoint template

You can also open the folder containing all the images. Press Control-A to select them all and drag them onto your PowerPoint slide.

3. Make the Photo Collage

With all your images loaded, it’s time to make your PowerPoint picture collage. First, resize the images so that they all fit nicely onto the slide. Resize the images—drag the corner Anchor Points that appear when the image is selected.

Then, select an individual image and drag the middle to position it on the slide.

How you position the images on the slide is entirely up to you, but here are some of my go-to ideas to get you started:

  • Put them side by side if you prefer a classic layout.
  • Experiment with overlaying images for a more creative layout.
  • Mix horizontal and vertical images for a dynamic look and feel.
  • Use a combination of photos and shapes to create a layered collage look.

Adjusting the layout of your images

Once you’ve arranged the photos as you want them, you can adjust which photo should be on top.

Right-click on a photo and select Bring to Front to position it on the top. Or select Send to Back to place it behind a different image. Then, repeat this process for any other image on the slide.

Customizing the positioning of images

4. Crop Images to a Shape

Do you want to add more photos to your collage but don't have enough room on the slide? Consider cropping some images to a shape. This is also an excellent way to get even more creative with the collage layout.

Cropping images into a shape

Select the image you want to crop and click the Picture Format tab. Click the Crop icon and select the Crop to Shape option from the drop-down menu. Then, select the shape you want.

In this example, I’ve selected the Oval shape.

5. Adjust the Image Crop

Adjusting the image crop

Sometimes, you may want to adjust the image's crop so that the desired portion shows up. To do this, select the image and click on the Picture Format tab. Then click the Crop icon and adjust the crop.

You can also move the image around to reposition it within the crop marks.

6. Play With Colors

Adjusting the color overlay

This is my favorite part. Make some images stand out more by adding a color overlay. To do this, click the Picture Format tab and the Color options. You can then play with the saturation and tone or add a color overlay.

7. Adding Final Touches

Are you done arranging and cropping your images? Take a few minutes and step away from your presentation. Take a short break and return to see the PowerPoint collage design with fresh eyes.

duplicating a slide

You can then add more images if there are any blank spots or experiment with a different layout.

Consider duplicating the existing slide first to have a copy of the original layout. You can do this by right-clicking on a slide and selecting Duplicate Slide . This allows you to change the design as much as you want while having a backup.

We've covered how to make a photo slideshow in PowerPoint. Let's explore some of the latest image trends in 2024 . Following trends helps me avoid unintentionally creating slides that look dated.

Here are my top five image trends for 2024:

1. Create Depth With Gradients

Gradient backgrounds in PPT are a common trend that can applied to images too. Seamlessly blend hues and tones to create depth. This trend elevates the aesthetic of your presentation and will impress your audience.

Gradient Minimal Template is an example of a quick and easy way to create gradient images. Using a gradient overlay on black-and-white photo collages creates a unique style.

2. Create Fluid Custom Shapes

Are you bored of squares, rectangles, and circles? Photo masks apply custom shapes to your images, giving your slides a unique edge.

Doodle Creative PPT is a professional yet fun presentation. It includes a mix of creative doodles and custom-shaped photo collages.

3. Keep It Clean With Geometric Shapes

If you like the idea of custom shapes but don't like non-fluid shapes, geometric shapes are perfect. In my experience, you can't go wrong with a slide like Geometric Infographics. It's clean, professional, and super fun!

4.  Stand Out With Color

If you're a pro at changing the background colors of images, you'll have fun with this colorful image trend. Let your images be the main design element of your slides. The example below showcases when minimalism meets color to create a professionally designed presentation.

5. Neutral, Organic, and Beige

In a loud, colorful design world, this unique trend creates calm and warmth. Neutral, earthy tones create a sense of sophistication and credibility for your brand. If you're looking to leave your audience with a sense of comfort and trust, this trend is for you.

Organic Aesthetic Minimalist PPT, uses artistic & earthy collage in PPT, from Envato Elements

Organic Aesthetic Minimalist PPT effortlessly creates this sense of comfort and trust. The images are minimalist, artistic, and earthy. The PPT template is elegant in beige with black fonts.

Once you've got the perfect PowerPoint template , it’s time to add your collage. Here are five quick tips to help you create unique photo collage layouts:

1. Pair Photos That Are Similar in Tone and Style

I find that photo collages look best if you pair similar photos. For example, pair light photos with light photos instead of mixing light and dark photos.

2. Combine Similar Shapes

Symphony PowerPoint Template

If you want your images to look more creative, cropping them into shapes is a nice touch. To keep things consistent and cohesive, combine similar shapes, e.g. circles with ovals and rectangles with squares. This will look more aesthetically pleasing.

3. Pair Images With Color Blocks

You don’t always have to combine images to create a PowerPoint collage look. You can also pair images with shapes used as color blocks to achieve the same effect. This method can give your images an elegant border.

4. Keep Text to a Minimum

Gallery & Profile Section, a photo collage on PPT from Envato Elements

A PowerPoint photo collage presents a lot of information. If you've got to use text with your photo collage, keep it to a minimum. Doing so allows your photos to be the main focus of each slide and will stop your text from distracting your audience.

5. Alternate Photos and Text

If you want a minimalist collage look, consider alternating photos and text. This gives your presentation photo collage a dynamic look and feel. It's even a workaround if you've got a limited number of photos to work with.

How to Embed a Video in PowerPoint Like a Pro

powerpoint presentation insert picture

In today’s digital age, where attention spans are shorter than ever eight seconds  incorporating a video into your presentations can be a game-changer.

Did you know that  a single minute of video is worth 1.8 million words?

That’s right videos can convey complex information quickly and effectively, making your PowerPoint presentations engaging but also more memorable.

Whether you’re looking to captivate your audience, illustrate a point more vividly, or add a dynamic element to your slides, embedding video can transform your presentation from mundane to magnificent.

In this blog, we’ll walk you through embedding a video in a PPT and talk about the advantages and best practices. Let’s dive in!

powerpoint presentation insert picture

Table of Contents

Boosts audience engagement, simplifies complex topics, saves time with quick and effective messaging, elevates your professionalism, approach 1: add video into powerpoint from a file, approach 2: add a video from a link, step 1: open powerpoint, step 2: navigate to the desired slide, step 3: click ‘insert’, step 4: choose ‘video’, step 5: select the video source, step 6: insert video, step 7: adjust size and position, step 8: customize playback options, step 9: save the presentation, movie file (mpg, mpeg), adobe flash media (swf), windows media video file (wmv), windows video file (asf, avi), mp4 video file (mp4, m4v, mov), fine-tune your voiceovers for a perfect delivery, bring your videos to life with natural, expressive voices, connect with a global audience through multilingual support, why embedding videos in a ppt is a game-changer.

powerpoint presentation insert picture

PowerPoint presentations are a staple in corporate and academic settings, but a static slide show can sometimes fall flat. Your audience craves dynamic content that grabs their attention and holds it from start to finish.

Videos do just that! They breathe life into your PPTs, changing them from mundane speeches into captivating experiences. Here’s how adding videos can transform your presentations:

Visual content is king. With 88% of professionals prioritizing it, adding videos to your presentations is necessary. They break the monotony of static slides, making your presentation more interactive and lively.

For instance, a PPT on environmental conservation might use a video display of a wildlife habitat with a voiceover to grab attention. This dynamic display turns a passive audience into an active one, keeping them hooked.

People retain 95% of a message they watch in a video compared to only 10% when reading it. Videos provide a visual and auditory learning experience that enhances information comprehension and retention. They can break down complex information that is difficult to explain with text and images alone into digestible chunks, making it easier for the audience to understand.

A video can deliver your message in seconds, keeping your presentation sharp and impactful. Instead of a lengthy explanation, insert a short clip reinforcing your point. This efficiency allows you to cover more ground, saving time.

Besides, embedding a video in PPT makes it a permanent part of your presentations. You can share or access it anytime, creating a reusable knowledge base perfect for consistent training and onboarding.

Most people prefer learning about products or services through video. Inserting videos in your PowerPoint slideshow meets this expectation, making your presentation look professional and well-curated. This attention to detail can impress your audience and enhance your credibility as a presenter.

Ready to turn these benefits into reality? Let’s explore the step-by-step process of incorporating a video into PowerPoint presentations.

Different Ways to Embed a Video into a PowerPoint Presentation
