How to write a sponsorship proposal from a template

Imagine you are arranging an international conference dedicated to the blockchain, with hundreds of guests and numerous speakers.

One of your key responsibilities as an event planner is to secure sponsorships to meet the budget and make the event remarkable.

You might have already set your sights on companies and individuals who can come forward as sponsors.

But how do you sign mutually beneficial partnership agreements with them?

You need a sponsorship proposal that has a professional look and feel — and you can create such a document using the simple sponsorship proposal template in PandaDoc (alongside 2,800 users who have already done so).

In this guide, you’ll discover the basics of sponsorship and elements your proposal should include to attract funding.

What is a sponsorship proposal?

An event sponsorship proposal is a pitch or a presentation you create to persuade businesses or individual investors to support your event financially or through in-kind contributions.

For example, a blockchain conference might require sponsors who can contribute in non-financial ways by providing a venue, transportation, equipment, and so forth.

To get either monetary or non-cash support (or both), you should create and share a strategic document with a potential sponsor that outlines how they can benefit from sponsoring your event.

Your proposal should dive into the nitty-gritty of the event, anticipated turnout, and opportunities for exposure that the event offers.

Knowing how to create a professional event proposal will raise your chances to engage sponsors in creating an amazing event together.

Preparing and writing your sponsorship proposal

Let’s navigate the process step by step, from tips for preparing to write a sponsorship proposal through adding the final touches to your template-based document.

You may be tempted to write a description for your upcoming event and send sponsorship requests to a large email list, hoping something sticks.

Not so fast. Generic outreach hardly ever yields results.

Instead, delve deep into a potential sponsor’s type of business and values.

You should align a partnership opportunity with a particular brand identity, market goals, and audience engagement strategies.

This is your chance to showcase your professional approach and demonstrate how your event can serve as an ideal platform for sponsors to amplify their message.

1. Screen your target audience

If you have previously arranged a similar event, you probably know your preferred audience well and have an attendee profile. If that’s not the case, start from scratch.

Create an image of your ideal attendee before writing a sponsorship proposal.

Look at your target audience and ask yourself: Who would find the event’s topic interesting? Who would be attracted by confirmed celebrities? Who could realistically attend the event?

Rely on real-life data and evidence rather than assumptions.

You can monitor early registrants on Facebook, LinkedIn, and Twitter; run a survey among registrants; visit similar events in person and talk to guests; and check if there is an event with a similar audience taking place on the same day in the same city.

Build an event attendee profile.

Create a comprehensive attendee profile, taking into account key information such as:

  • Marital and parental status
  • Income level
  • Education level
  • Geographic location
  • Ethnic background
  • Religious beliefs
  • Technical knowledge

Your blockchain event could attract digital marketers, software developers, investors, and more. Each will represent a separate profile.

In this case, you’ll need to create several different profiles for your target audience and tailor your proposals to focus on the segment a particular sponsor will be most interested in.

Tools such as Google Analytics and Facebook Insights will help you uncover insights about your target audience — and sometimes the audience of your partners and competitors.

Use this data to take a deeper look at your website visitors and subscribers on social platforms.

2. Identify potential sponsors’ needs

The attendee profile you created in the previous step will guide you as you select target sponsors.

We suggest doing so in the following order:

  • Check out your potential guests’ profiles on social media . Browse who guests follow or subscribe to, and make a list of companies you find. Names that pop up twice in your list should make up the core of your potential sponsors.
  • Look at similar companies to those on this initial list and add as many as you can.
  • Screen your candidates.

Next, read your potential sponsors’ blogs and social media publications.

Then refine the ideas you’ve encountered to create tailored proposals for each company.

For instance, if a company has just presented a new product, they might still have a budget to promote it.

Should your event provide such a promotion opportunity, hit them with it right between the eyes in your sponsorship proposal.

Your best shots are companies that:

  • Have sponsored similar events in the past
  • Have seen recent changes in their management
  • Are affected by major current events in their sector
  • Have just launched or are launching a new product or campaign
  • Have brand values that correspond to your event

3. Connect the dots

You may see clearly how your event’s audience relates to a potential sponsor’s business, but you need to expand on this relationship, making the benefits of sponsoring your event obvious.

You can include the following selling points:

  • Enhance brand awareness : Offer to place the sponsor’s logo on event marketing materials (banners, social media posts, email campaigns, and more) and get the brand mentioned in media coverage.
  • Drive sales: Organize a dedicated space at the event where sponsors can showcase their products or services.
  • Bolster the brand image : Connect a sponsor with a part of the event that highlights their values (for example, a keynote on blockchain innovation).
  • Promote a product: This can be done during a featured session dedicated to the launch of a sponsor’s latest blockchain product.

Although you might be unaware of a company’s immediate priorities, you can give your prospective sponsor some food for thought.

4. Think through sponsorship opportunities

Once you know which goals you can help a potential sponsor achieve through your event, think of the perks you can offer.

Of course, they will depend on your event’s specifics, but here are a few ideas from Eventbrite , Billetto , and our experience for starters:

  • Provide free Wi-Fi for guests and show a sponsor’s branding on a splash page when attendees connect to it.
  • Feature a sponsor’s logo on the event website and on physical promotions.
  • Feature a sponsor on your website with a banner ad.
  • Offer sponsors a space on your Facebook or X cover photo.
  • Include an ad feature for a sponsor in pre- and post-event publications.
  • Include sponsor information in the event’s mailout.
  • Let a sponsor put up a roll-up, information stand, or trade booth in the event venue.
  • Distribute a sponsor’s materials among guests.
  • Get a sponsor’s representative to speak at the event.
  • Brand a device charging station after a sponsor.
  • Set up a branded game lounge where attendees can relax over games, or arrange other sponsor-themed areas.
  • Arrange a live stream from the event featuring a sponsor’s branding, pre-rolls, and “bumper” videos before the event content starts.
  • Distribute sponsored merchandise like pens, swag bags, lanyards, and water bottles.
  • Place sponsor branding on staff uniforms.
  • Cover the floor, venue entrance, or other objects with branded vinyl wraps.
  • Set up an interactive wall featuring a sponsor’s branding.
  • Offer a catering menu branded by a sponsor.

How to write a sponsorship proposal using a template

You have an attendee profile, a list of potential event sponsors, and a variety of sponsorship options.

Now is the time to arrange all that data in a proposal.

The good news is that you don’t need to write the document from scratch.

PandaDoc has sponsorship proposal templates you can work from, store, and update for your next events.

Let’s look at how to use a template and suggest a few bonus sections.

1. Customize the cover page

The cover page should provide general details: the name of the decision-maker you’re addressing your proposal to as well as their company’s name, your name and the name of your company, the type of event you’re arranging, and the event’s logo and title.

Most importantly, the cover should feature a title.

If you want to differentiate yourself from other proposals, avoid generic titles like “Sponsorship proposal for ABCD Event.”

Try to develop something more engaging: a call to action that immediately relates to the sponsor’s business:

  • Present your new wallpaper to the Designer Crowd offline
  • Be seen by construction managers at ABCD Event
  • Climate change: Show that you care at ABCD Event

You get the idea. However, make sure you add “event sponsorship proposal” somewhere on the page, making it easy to spot.

This will help the person responsible for sorting incoming mail put your document in the right box.

2. Introduce yourself and your event

Consider the first page of your proposal as a sponsorship letter , and write it accordingly.

If you know the recipient’s name, address them directly and write as if you were sitting and talking to them.

As you proceed, include these details:

  • Date and time
  • Keynote speakers and entertainers
  • Catering and suppliers
  • Venue and location
  • What makes your event special ( Why will it be attractive to the sponsor’s target audience? )
  • Confirmed sponsors

In the body of your sponsorship letter, emphasize how your event relates to the client’s business.

Use phrases such as “ according to our survey, 20% of our attendees are your clients. ”

Remember that social proof works better than any arguments you might come up with yourself.

If you have past events in your portfolio, provide testimonials from guests and participants.

Finally, use your sponsorship letter to build trust. List the key people behind the event alongside their photos, brief biographies, and accolades.

This will show the recipient you’re transparent — and real.

People prefer working with people, not organizations.

3. Break down your event’s demographics

You’ve already created a detailed attendee profile.

Now it’s time to present that data in a digestible way, highlighting how the potential sponsor’s business relates to your audience.

Consider putting together an infographic featuring the most important details — like the one below.

Demographic shapshot

4. Present all data and metrics

If you have held a similar event in a previous year, it’s now time to use stats collected from the last event.

If you don’t have such information, you may have intelligence from other organizers or general stats that might work as a selling point.

Think about the following data:

  • Gross revenue from promotions
  • The number of people who checked in for and attended similar events
  • The number of active community members you have
  • Your visit-to-purchase conversion rate
  • The number of attendees engaged with similar events online
  • The number of people you can reach out to online and offline if you secure essential funding

These examples should inspire you to develop your own KPIs based on your event’s specifics.

5. Clarify your “why”

You’ve probably chosen a specific potential sponsor because their values resonate with your event’s mission.

But they may not realize as much until you lay the relationship out in black and white.

Use this section in the template to tell the recipient about your event’s objectives.

Make sure those objectives go hand in hand with the sponsor’s philosophy (or at least what the sponsor describes it to be).

6. Make your proposal financially transparent

A prospective sponsor will be wondering what you need their money for. Be sure not to leave them any chance to cut you loose here.

Present your spending plan in a pie chart.

List costs like venue rent, marketing, entertainment, guest housing, catering, staff, gifts, and everything else that is required for your event.

Spending plan chart

7. Provide a clear timeline

Your sponsor will want to make sure you’re committed to the event.

You can prove commitment by presenting the event planning timeline in your proposal.

Here’s a general idea of what your timeline may look like:

presentation sponsorship proposal

Draw on this example to develop your own detailed timeline.

8. Define and describe sponsorship packages

You’ve previously put together your sponsorship options. For the proposal, split the list of options into several packages varying in value.

The more valuable the package is, the higher the sponsorship level and the more expensive it should be. Check out this example:

presentation sponsorship proposal

If you’re sending your proposal online , you can use the benefits of the interactive Sponsorship Agreement Template provided by PandaDoc.

For instance, you can allow the recipient to choose a sponsorship package and the sponsorship amount will appear in the terms and conditions below.

Finalize your proposal

Think of this stage as the grand finale: instead of sending follow-up emails later, make sure you have everything laid out accurately on the last page of your sponsorship proposal.

Wrap up your proposal with terms and conditions, which are essential to creating a clear understanding and agreement between you and the sponsor.

Sometimes, companies create a separate document called a sponsorship agreement .

But a comprehensive template already has its last page dedicated to this specific purpose to reduce follow-up mail.

On this page, you should include the following details:

  • Sponsor company’s name
  • Sponsor company’s address
  • Your company’s name
  • Amount of the contribution
  • Date by which the contribution is to be provided
  • Sponsorship termination date
  • Changes and cancellation terms

The page should end with a standard signature box and your contact information, such as your phone number and email.

If you’re using the PandaDoc template, you’ve already provided most of those details and they will appear in the respective fields automatically.

Moreover, you can use a convenient electronic signature feature to speed up sponsorship deals.

Event sponsorship proposals have always been and continue to be a successful strategy for raising brand awareness. In today’s competitive market, securing event sponsorships is crucial for the success of different kinds of events. That’s why compelling event sponsorship proposals are essential. They attract potential sponsors and secure their endorsement.

This comprehensive guide presents a step-by-step approach to unlocking valuable insights for creating an exceptional event sponsorship proposal. These practical tips will elevate your proposal to new heights, guaranteeing remarkable results.

Whether you’re a seasoned event organizer or a beginner, this guide will equip you with the tools and knowledge needed to craft a standout proposal that captures the attention of potential sponsors. Let’s dive in and discover the secrets to success in event sponsorship proposal creation.

10 Must-Follow Steps to Write an Event Sponsorship Proposal

Take a look at how to write an event sponsorship proposal in 10 steps:

1. Research and Understand Your Event

Researching and understanding events is the foremost step in writing a successful sponsorship proposal. The better you know your event, the more effectively you can communicate its value to potential sponsors. Accordingly, write your winning bid to meet their needs and interests.

presentation sponsorship proposal

Points to remember while researching events:

  • Have clarity about the event’s purpose and goals : Ask yourself what you are trying to achieve with the event. Who is your potential audience, and what do you want them to gain from attending? What is the expected attendance and scope of the event? Understanding these key factors will help you effectively write your proposal to multiple sponsors.
  • Analyze your audience’s demographics, interests, behaviors, and purchasing power. Find out what motivates them to attend events like yours and what they can expect from the event. Accordingly, create targeted event sponsorship proposals that resonate with potential sponsors.
  • Research your competitors : Identify other events similar to yours and analyze their sponsorship strategies. While researching, you can ask questions like – ‘What sponsors have they worked with in past events?’ or ‘How can you differentiate your event from your competitors and position it as a unique and valuable opportunity for potential sponsors?’
  • Identify potential sponsors: List potential sponsors who align with your event’s goals, values, and target audience. Create a sponsorship package that includes logo placement, naming rights, speaking opportunities, VIP access, and promotional opportunities.
  • Develop a promotional plan. This plan should include social media campaigns, email marketing, advertising, public relations efforts, partnerships with media outlets or influencers, and other relevant promotional activities.

Follow these steps and thoroughly research and understand your event to position yourself well and create a compelling event sponsorship proposal that attracts prospective sponsors and helps you achieve your event’s goals.

2. Identify Potential Sponsors:

Identifying potential event sponsors requires research and networking. Start by researching companies or organizations interested in reaching your target audience.

presentation sponsorship proposal

Tap into your existing network and connections. Reach out to colleagues, partners, or industry professionals who may have relationships with potential sponsors or can provide recommendations. Attend relevant industry events, conferences, or trade shows to meet potential sponsors face-to-face.

Use online resources such as industry directories, business listings, and trade publications to identify potential sponsors. These platforms often provide information about companies, their areas of interest, and contact details.

Stay updated on industry news and trends. Consider local businesses, community organizations, and nonprofits that may be interested in supporting events within their community. These sponsors may be more accessible and eager to engage with events that align with their local presence and target audience.

3. Write a Summary of the Proposal:

Write a compelling summary for your event sponsorship proposal. Let’s have a look at some essential components for writing a summary for a better proposal:

presentation sponsorship proposal

  • Start with a concise and engaging introduction.
  • Provide a brief overview of the event’s purpose and objectives.
  • Communicate why the event is significant, what it aims to achieve, and who the target audience is.
  • Discuss how the event will provide exposure, access to a specific target audience, networking opportunities, brand visibility, and the potential for increased sales or brand recognition.
  • Summarize essential privileges and opportunities available to sponsors at each level, such as logo placement, branding opportunities, speaking engagements, VIP access, or product integration.
  • Include facts, statistics, and feedback on last year’s event, past attendance numbers, media coverage, social media reach, or any other metrics that showcase the event’s reach and influence.
  • Conclude the summary with a clear call to action.
  • Provide contact information and assure them of your availability to answer any questions or provide further information.
  • Once you have written the summary, proofread it carefully to ensure clarity, coherence, and error-free writing.

The summary serves as the first impression of your event sponsorship proposal, so it should be a concise and engaging letter that communicates the event’s value to potential sponsors.

4. Provide a Detailed Overview of the Event

Provide a detailed overview of your event. It should include the event’s date, duration, location, and anticipated attendance.

presentation sponsorship proposal

Describe the event’s theme, activities, and notable features that make it unique and appealing to potential sponsors. Paint a vivid picture of what sponsors can expect by associating with your event.

5. Highlight the Benefits of Sponsorship:

Create clear outlines and attractive sponsorship packages at different levels to accommodate various budgets and objectives.

presentation sponsorship proposal

The benefits of the sponsorship proposal are as follows:

  • Brand Exposure: Highlight how sponsoring your event can provide significant brand exposure to sponsors. Offer them to include logo placement on event materials such as banners, signage, company website, and promotional materials.
  • Networking and Relationship Building : This section showcases opportunities for sponsors to engage with attendees through product demonstrations, samples, interactive experiences, or direct interactions during the event.
  • Highlight sponsorship possibilities, such as VIP access and opportunities to connect with industry leaders, potential clients, or other influential individuals attending the event.
  • Product and Service Promotion : Highlight opportunities for sponsors to set up booths, conduct product demonstrations, offer samples, or provide exclusive discounts to event participants. Explain how sponsoring your event can be a powerful platform for introducing new products or generating sales leads.
  • Media Coverage & PR opportunity: Explain to sponsors how sponsoring your event can provide media coverage and PR opportunities for sponsors. Explain how media outlets, influencers, and journalists will be invited to cover the event and outline any planned media partnerships or press conferences. This exposure can significantly increase a sponsor’s visibility and media presence.

Explain the benefits to each potential sponsor, emphasizing how their specific goals and target audience align with your event’s advantages. Providing a clear and compelling list of benefits will help potential sponsors understand the value they can gain from supporting your event.

6. Customize Proposal as per the Event:

Customize the proposal by explicitly addressing the sponsor’s objectives and how the event can help them achieve their goals. For example, if a sponsor wants to increase brand awareness, highlight the event’s reach and exposure opportunities. If a sponsor wants to engage with a specific target audience, emphasize how the event’s attendees align with their customer base.

presentation sponsorship proposal

Develop personalized sponsorship packages that align with the sponsor’s needs and budget. For example, if a sponsor is interested in delivering lectures, include speaking opportunities or panel discussions in their package.

Include case studies or testimonials from previous sponsors relevant to the potential sponsor’s industry or goals. It will build credibility and demonstrate the positive outcomes that sponsors have achieved by partnering with your event.

Personalize the proposal by addressing the sponsor directly and referring to their specific achievements, interests, or initiatives.

7. Include Detailed Event and Promotion Plan:

I ncluding a detailed event planning process to demonstrate how you will effectively promote the event and maximize exposure for sponsors is essential. Here are some key elements to include:

Evaluating previous event reports showcases your professionalism, transparency, and dedication to providing sponsors with a comprehensive assessment of the event’s outcomes and their sponsorship benefits.

In both cases, we had to figure out how to take what are historically in-person events and translate them into engaging virtual experiences with a team of just two in-house event marketers, counting myself.

ImageCon is our flagship customer summit. In 2021, more than 1,700 people across 107 countries registered for the two-day event, which included 20 virtual sessions designed to help retailers unleash the full potential of their visual media.

Our hosted event series included about 8 virtual events across North America and EMEA markets. To drive up attendance and engagement, we hosted unique virtual cooking and mixology classes, wine tastings, tequila pairings, and more, with celebrity chefs and bartenders such as Marcus Samuelsson, Julio Cabrero, and Amanda Freitag.

Rockstar Mode

ImageCon was a success, in part, because we secured high-quality speakers and focused on providing true value to attendees by creating sessions to optimize their usage of the Cloudinary platform to improve their business. We featured customers in the content by doing customer spotlights. We also improved the production level of the summit by partnering with an agency.

I am proud we were able to pull off a high-quality event of this scale while managing 30 other events for the year.

Prior to the pandemic, our hosted event series consisted of in-person dinners and intimate happy hours. We wanted to recreate these virtually, without making them feel like webinars. We succeeded, in part, because we invested in high-quality talent to attract participants and create fun, memorable moments we probably could not have pulled off in-person.

We also took pains to make the events as easy as possible to attend, for example, by mailing guests meal kits or drink kits with everything they needed to participate. Of course, everything was branded, right down to the salt and pepper. We know our attendees’ time is precious, so we encouraged them to involve their family and were sure to include enough food and/or drink to share.

After the experience, we broke out into small groups, allowing people to network with peers and Cloudinary team members, who led discussions on relevant industry topics. Thus, attendees topped off a great culinary or cocktail experience with valuable learnings that could help their business. In fact, I see us continuing with some of these virtual events even after we have resumed in-person ones.

Our on-demand event content is now a powerful sales enablement tool for our sales team, who share session recordings with prospective customers, as well as existing ones who are considering adding on a new capability. We will continue to measure the performance of this content.

For the hosted events, we evaluate success by measuring pipeline acceleration. So, we consider where event guests are in their consideration process before attending the event. We use the event, and event follow-up, to help move the prospect or customer to the finish line. We usually see prospects who engaged in marketing campaigns were more likely to close, and close faster, than those who did not attend an event.

While this is harder to measure, we know our event series keeps the Cloudinary brand top of mind and deepens our relationship with customers. We document the positive feedback we receive from attendees and sales reps for internal use and marketing purposes.

Survivor Mode

Another challenge was creating an event strategy against a backdrop of so much uncertainty. I have seen industry colleagues invest resources in planning in-person events, only to have to rejigger in the final hour. I made the decision from the onset of the year to plan for virtual events, given our small team and resources. This allowed us to create more effective and engaging virtual events from the start and maximize our budget.

Nothing beats in-person events, and I am excited to be moving forward with these in 2022. But I plan to continue with digital and hybrid events, as well, for a number of reasons. When done right, they can be more memorable than in-person ones, and certainly more convenient. They also allow me to engage people across a wider geographic region (all of Europe for example or across the US), which leads to cost-savings and unique and widened interactions for our attendees.

What is a sponsorship presentation template?

A sponsorship presentation template is a structured format used to pitch potential sponsors, highlighting the benefits and opportunities of partnering with an event or organization. It typically includes a title slide with the event or organization name, proposal title, and date, followed by an introduction covering the overview, mission, and vision. The event overview describes the event, goals, and schedule, while the audience demographics section details the target audience. Sponsorship opportunities outline various levels and associated benefits. The benefits to sponsors section emphasizes visibility, engagement, and networking opportunities. Previous successes feature testimonials and case studies. Marketing and promotion discuss the strategy and media channels. The call to action outlines the next steps and contact information, and the presentation ends with a thank you slide expressing gratitude and inviting further discussion.

What makes Storydoc better than PowerPoint or PDF?

With your same-old PowerPoint sponsorship presentation design, you’ll never stand out, let alone engage.

Decision-makers and investors have seen beautiful corporate sponsorship proposal PPTs and PDFs a thousand times before. Though pretty, they’re still static, dull, and hard to understand.

Storydoc’s interactive sponsorship proposal deck design brings your content to life with animation, annotation, and narration that tell a story, not just present information.

What is the goal of a sponsorship proposal template?

The goal of a sponsorship proposal template is to provide a structured format for presenting a compelling case to potential sponsors.

It aims to showcase the benefits of partnering with an event or organization, highlighting the mutual value and opportunities for both parties.

What makes a good sponsorship proposal design?

  • Clarity and simplicity: Ensure the design is easy to understand, with clear headings and concise content.
  • Branding consistency: Incorporate your organization's logo, colors, and fonts for a professional look.
  • Interactivity: Add clickable links or QR codes to direct sponsors to more detailed information or multimedia content.
  • Storytelling: Weave a narrative that connects the sponsor's goals with the benefits of the partnership.
  • High-quality images: Use relevant photos or graphics to visually support your proposal's message.
  • Data visualization: Include charts or infographics to represent statistics or success stories.
  • Call to action: Clearly state what you want the sponsor to do next, whether it's contacting you or signing an agreement.

Why use a Storydoc template instead of paying a design agency?

  • Stroydocs are 2x more engaging than a typical agency-made sponsorship presentation
  • Our templates cost a fraction of the price you pay an agency.
  • With Storydoc you can produce content about 5x faster than using the legacy design approach.

What should a sponsorship proposal sample include?

  • Introduction slide: Briefly introduce your organization or event.
  • Objective slide: Clearly state the purpose of the sponsorship and its potential impact.
  • Benefits slide: Highlight the advantages for the sponsor, such as brand exposure or audience reach.
  • Sponsorship packages slide: Offer different tiers of sponsorship, detailing the perks for each level.
  • Testimonials slide: Showcase endorsements from previous sponsors or partners.
  • Audience demographics slide: Provide data on your target audience, emphasizing their relevance to the sponsor.
  • Budget and financials slide: Break down the costs and potential returns on investment.
  • Contact information slide: Ensure sponsors know how to reach out for further discussions or clarifications.

What are the main types of sponsorship proposal templates?

  • Event sponsorship: Tailored for events like concerts, sports, or festivals.
  • Media sponsorship: Designed for radio, TV, or online platforms seeking advertising partners.
  • Product sponsorship: For brands looking to promote a specific product or service.
  • Charity or non-profit sponsorship: Aimed at organizations seeking support for philanthropic causes.
  • Sports sponsorship: For athletes and teams looking to promote themselves and acquire the necessary funds to train better, improve, and win.

Free Event Sponsorship Proposal Template That Wins Clients

This proven event sponsorship proposal template won over $16,000,000 of business for our customers in 2023 alone. The text, images, colours, your logo - it's all 100% editable.

Event Sponsorship Proposal Template Slide 1

Everything you need is included

Looking for visually appealing and highly functional? You’ve got it. This template comes with a pre-built layout designed to help you create professional documents quickly and easily.

  • Event testimonials
  • Next steps with digital signing
  • Take payments directly from your proposal
  • Visually stunning cover

The first thing your client sees is a beautifully designed cover, fit for a world-class event. If the cover doesn't impress them, it's always going to be an uphill struggle from there. You can change the text, your logo, and the background image if you like - this gets you started.

Writing about your event is hard. How much is too much? Will the potential sponsor understand it? Completely valid questions and ones you don't need to worry about now.

In this event sponsorship proposal template, the page detailing the event is done, the structure is laid out. You just need to add a few specifics when you use it.

Like with this entire proposal, it's all editable - the colors, the text, images, layout - everything.

Explaining the event sponsorship process can be difficult. You want to give enough detail, but not so much that it seems overwhelming. Fortunately, this has been battle-tested and is the perfect amount of information. You can tweak it to suit your exact process.

The number of sponsorship proposals that simply don't show any examples of past events is shocking. If you want to be taken seriously, you need to show sponsors that they're making a good investment.

In this event sponsorship proposal template, we've set out an example testimonial section. All you need to do is replace our examples with your own and use the structure we've used.

Getting 'the ask' right when going for sponsorship is difficult. In this interactive pricing table, all you do is put the numbers in, type a quick 1-line description of what they get, and that's it - done. If you want to have optional upsells, you can do that too.

The worst way to lose a sponsor is not telling them how to sign up for sponsoring your event. This proposal template comes with a 'Next Steps' page which you shouldn't need to alter at all. Simply detail the next steps your sponsor will go through and ask them to sign digitally by typing their name and clicking Accept.

Our digital signatures are 100% legal and compliant. When your client signs, you can see your digital signature certificate in your Better Proposals account.

The sooner and the easier you can get that money in your account, the better. Using our integrations with Stripe, PayPal, and GoCardless, you can take a payment from the moment they sign your sponsorship proposal.

12 of the Best Event Sponsorship Proposal Examples to Inspire Yours

presentation sponsorship proposal

  • April 10th, 2019
  • Industry Insights

According to EventMB , finding sponsors is the second biggest logistical challenge when it comes to organising events.

Providing useful information as a magnet for potential sponsors is one approach through which many conferences have found success.  However, deciding what kind of information to include in a sponsorship proposal, and how to design it so that it’s clear and appealing to your potential partners is a challenge onto itself.

As such, we’ve scoured hundreds of conference websites to show you some best-in-class sponsorship prospectuses to help inspire your set up and hopefully help you boost the number of sponsorship requests you get.

Here’s a quick index of the conferences whose sponsorship proposals we’ll be chatting about:

  • J on the Beach
  • Tech Budapest
  • J and Beyond
  • DjangoCon EU
  • Intersection Conference
  • Uphill Conf
  • JSConf Budapest
  • AmsterdamJS

1) RailsConf

RailsConf  prides itself on being  the place for product launches, project announcements, and good old-fashioned networking.

RailsConf 2019 Minneapolis

Note that the contact details for the person responsible for receiving these requests appears at the bottom of each page of the prospectus. In this instance we’ve redacted the details for privacy, but if you’re interested in getting in contact with the team with a sponsorship enquiry, these details are of course available via the full proposal document. In some of the following examples, we’ve also cropped them out to keep things concise.

RailsConf 2019 Sponsorship Tiers

As you can see above, the increased readability that comes with putting your sponsorship tiers in a table means potential supporters of your conference or event can get all the information about the benefits you’re offering at a glance, something this example does splendidly.

RailsConf 2019 A La Carte Sponsorships

As well as the standard packages on offer, the team behind RailsConf offers A La Carte options for sponsors where they can contribute towards certain side-events or items central to the event. This is a great idea to get sponsors who may be most interested in getting involved in a more hands-on way than traditional options would offer.

RailsConf 2019 Submission form

Arguably the most important part of attracting sponsors is giving them a way to get in touch with you, and by including a form at the end of the prospectus, RailsConf makes it easy for them to do just that.

2) J on the Beach

J on the Beach is an international rendezvous for developers and DevOps folks working with Big Data technologies.

J on the Beach Sponsorship Prospectus

Providing a conference overview is essential to communicating what your brand represents and J on the Beach share this beautifully:

J on the Beach conference overview

Conference organising teams should always keep in mind that sponsors mostly want to know who they’ll be sharing their story with, much as those organisers do. That’s always the attendees.

Any way that the team behind the event can share more information to help potential sponsors understand who will be joining the event will be a powerful asset to any pitch. Below, you can see an innovative approach that J on the Beach took where they shared the topics their previous audiences were most interested in:

J on the Beach attendees favourite topics

They go one step further by including those attendees’ job roles as well:

J on the Beach attendee profiles

And some of the companies they represent:

J on the Beach attendee companies

All of these assets combine to give potential sponsors a vivid image of what the crowd at J on the Beach will be like. Then they can see if these people fit into the profile of the customers they traditionally work with.

However, even if these people fall into the personas and demographics that the sponsor companies are used to, they might not be returning attendees. Not, that is, if they had previously been dissatisfied with the content or production of the conference.

To circumvent that, J on the Beach have also shared the results of a survey they shared with participants from their past events, something organisers could consider leveraging to bolster their own events’ appeal:

J on the Beach satisfaction survey

Again, in a bid to take things one step further, they shared verbatim feedback from Twitter and media outlets to show how people reacted to what they’ve produced:

J on the Beach speaker feedback

And, lastly, they share their contact details simply in the last slide, prompting their readers to act on the hooks they’ve presented. Simple, effective, and a great example of a summary document done well.

3) Tech Budapest Conference Series

The Tech Budapest Conference Series is a little different to the rest of the conferences in this line-up. As the name would suggest, it’s not a single event, and rather a collection of them.

Included in that are Craft Conf , Amuse , Stretch , and Crunch . As well as that, they’re all included in the same sponsorship pitch deck.

This conference series’ proposal opens with a list of previous sponsors who have been involved:

Tech Budapest Previous Sponsors

Again, this helps potential sponsors to see if there are any similar companies to theirs opting into partnering with this event. Such a presence presents a lucrative opportunity for that company to get involved with an audience proven to be relevant to their interests.

In a similar sense, they also share information about their past attendees, but their layout shares an abundance of detail all in one slide:

Tech Budapest Conference Stats

To aid sponsors in visualising how they can get involved, the team behind the conferences in the Tech Budapest Series have also shared some images of how previous partners have monopolised on the opportunity:

Tech Budapest Sponsorship Examples-1

Finally, to add flexibility to the flavour of their offerings, they assure prospective sponsors that they’re willing to collaborate on unique ideas as well before sharing who to get in contact with.

Tech Budapest Creative Idea

As well as playing into the desires of the people who’ll be reaching into their pockets in this context, this tactic shows off the team’s willingness to collaborate, something sponsors are sure to get excited about.

4) SC London

SC London stands for Software Craftsmanship London, and it sells itself as the place where passionate software craftspeople, community, experts, and thought leaders come together.

SC London sponsorship deck

To help with the navigation process and keep people hooked once they start reading their sponsorship proposal, the team cleverly included a table of contents:

SC London table of contents

Not only does this improve readability, if the team have already convinced someone to contribute some cash to the cause, all they need do is jump to page 16 of the pdf at hand.

Upon describing the conference profile, SC London take a similar approach to Tech Budapest, with a few of their personal quirks:

SC London event in numbers

Injecting a little personality by sharing the above “innumerable & invaluable amounts” section, they both manage to share a little more insight into their brand and the atmosphere of the team that will inevitably trickle down into the event.

Focusing on the people yet again, they include quite a bit of social proof in their case for sponsorship, both from the speaker side and the attendee side:

SC London speaker testimonials

And, simply, they close with a thank you and a way to reach them on social, thus potentially bolstering their traffic and followers there, too:

SC London thank you-1

5) J and Beyond

J and Beyond is a dedicated Joomla conference in Cologne, Germany.

In terms of branding, J and Beyond really hits home by using unique illustrations for each tier of sponsorship on offer in their prospectus:

J and Beyond Main Sponsor Ililo-1

As well as adding a little sparkle to the presentation, this quirk makes the pitch memorable in a sea of what may be a set of black and white presentations that potential sponsors have to dig through to find the one that’s right for them.

The J and Beyond team list their sponsorship benefits beside each illustration, but don’t rely on that exclusively. Similar to a few of the examples we’ve already run through, they compact all of the bonuses of coming aboard as one of their sponsors in a neat little table:

J and Beyond Sponsorship Packages

Again, they also offer coffee and lunch break sponsorship packages to help those who want to get involved to find something that suits them.

6) DjangoCon EU

If the appeal of being a helping hand in what DjangoCon EU are going to produce amid the backdrop of the Danish canals they share at the top of their deck isn’t enough to entice a sponsor, there’s plenty more to attract partners to the conference.

Django Con EU Header

As well as highlighting the key benefits of getting into a sponsorship agreement with DjangoCon EU, the team behind its production leverage a highly powerful method to show the popularity of their event and create a design to get in on it: scarcity:

Django Con EU Sold out

Showing what has been sold in terms of sponsorship packages alongside what’s still available signals to potential sponsors that their competitors are snapping up what’s on offer. This implies that, as well as the obvious appeal, there’s a proven value in spending money on this kind of investment.

On top of all of that, the team behind DjangoCon provide details on what’s involved specifically on a contractual basis from sponsors. This covers questions they might otherwise have to spend quite some time responding to, increases the professional appeal of their brand, and shows that they’ve have awareness of the ins and outs of the sponsorship process:

Django Con EU Service Details

Of course, as well as showing off the tangible ways sponsors will be included in the production of the event, showing the ripple effects of getting involved adds a human aspect to the prospect:

Django Con EU value add

PyData is a forum for international community users and developers of data analysis tools.

To get a better idea of who that is, within the sponsorship prospectus the PyData folks have included graphics showing their audience’s preferred topics and their skill sets:

PyData Demographics

To show how they treat these attendees, and how sponsors can get involved with delighting them, they’ve summed up the benefits of sponsoring in three points:

PyData benefits of sponsorship

Better yet, they showcase just how many people a potential sponsor will get to show themselves to:

PyData 2019 events schedule

As well as the usual benefits you can expect should you be in the market to sponsor a conference, if you should decide to work alongside PyData , they share that you’ll also be supporting a community, give the conference is organised by a non-profit team:

PyData Non Profit

8) Intersection Conference

Intersection Conference , you might have guessed, is an event providing a place for the intersection of delegates from many countries, discussing how users interact with the creations of designers and developers. This is how they put it in their proposal:

Intersection Conference Value Add

Beyond their passion for empowering people’s successful use of products, the team showcases their passion for distributing those good intentions throughout the industry when they share their conference topics:

Intersection Conference Topics

Starting with this as a solid foundation for what potential supporters can expect, the deck goes yet further when it moves to the subject of promotion as the team offer a multitude of channels to distribute the message sponsors want to share:

This team are mindful that not only should they include sponsors on the day of the event, so too should they be part of the preparations and promotion ahead of time.

Of course they share their packages for on-the-day perks, but they add something special: a media sponsorship option where they make a call for a free-of-charge sponsorship to help with getting the word out about the conference:

Intersection Conference Media Partnership

Finally, they share their ticket price, and expected number of attendees to make sure their prospective sponsors know exactly who they’ll enjoy working with.

Alternative Approaches

Up until now, all of the sponsorship proposals we’ve been looking at were presented in .pdf form or through slideshow decks, but there’s a few other approaches out there that’ve worked for conference organisers in the past, so let’s consider some examples there as well.

9) Uphill Conf

One of the main drawbacks of using a .pdf or .ppt or similar for your conference sponsorship prospectus is its lack of interactivity. Sure, you can use hyperlinks, but having the dynamic options of a web page and the limitless creativity that permits is one step beyond. Uphill Conf take advance of that right on their sponsor page:

Uphill Conf Sponsorship Page

10) JSConf Budapest

In addition to buttons, bells, and whistles, multimedia options are an extra perk you get when you swap from something static to a webpage. Video is just one way you can utilise that, just like JSConf Budapest:

And why not throw in one of those buttons we talked about too, for good measure?

JSConf Contact Us

11) AmsterdamJS

As well as the reach sponsors have grown to expect from conferences on the day, the owned, earned and paid media outlets that conferences showcase themselves on nowadays are becoming more and more lucrative avenues for those same sponsors to get involved with.

AmsterdamJS understand this and, as such, one of the first things you see on their site when it comes to the benefits their sponsors enjoy is the reach of their videos and the website itself:

AmsterdamJS Stats

As well as that aspect of online broadcasting, they use their sponsorship page to showcase one of their recap videos too:

12) Drupal Con

Drupal Con is… well, a Drupal conference. Their homepage shows a depth of knowledge when it comes to how to make data accessible and how to make it resonate.

They accomplish this using a few different data points. Most notably, the purchasing influence of their audience:

DrupalCon Purchasing Influence

And their specific Drupal level, key if you consider how accurately potential sponsors can understand who they’ll be dealing with should they join the sponsorship team:

DrupalCon Drupal Skill Level

A ‘Contact Us’ Form

Some conferences seeking sponsorship prefer to keep things simple. Sometimes, a simple form layout can work. For a few examples, you can check out these fine folks:

  • EmberConf
  • ReactJS Girls

A ‘Mail:To’ Link

A word of caution rather than recommendation on this point. For past few years, many , many articles sharing tips and extensions that can block mail:to links have emerged.

For me, there’s nothing more frustrating than waiting for the default email client  on my machine to open, slowly chug towards being operational, and then asking me if I’m absolutely sure I want to close it.

I haven’t had to deal with that in the recent past because of tutorials like the ones I highlighted above, and I’m sure a lot of people are in the same boat as me. Furthermore, as a marketer, I’m always aware that mail:to links aren’t that easily trackable, meaning it’s hard to get a grip on how successful they are if you choose to incorporate them into your sponsorship drive.

Other than being hard to measure and a bit irksome for your visitors, they can often get overlooked, meaning it might be worthwhile having a think about  an alternative like the many lovely options we’ve seen.

In Conclusion

Note: Any and all logos displayed here are the property of their respective owners. We encourage you to check their websites out and sponsor them if anything here seems like a fit for you, if that’s not too forward. ?

With any luck, there’ll be something in this post that can help you get another sponsor (or several). While you’re here, and if you’re hungry for more, you can check out some stories and tips we’ve previously published on the subject of sponsorship:

1. Association Events

The goal of most association events is to network and increase their membership. Many of these events limit the number of sponsors they have so sponsorship opportunities are usually limited. This also helps create a sense of scarcity and will make potential sponsors reach out much quicker.

Highlights:

  • Many associations already have sponsors who partner with them. Typically, if an association has an event that needs sponsors, they will reach out to their current partnered sponsors first.
  • Many associations use this event prospectus to display exhibition opportunities
  • Some association event sponsor prospectuses will begin with a letter from the director to give an overview of the event and let potential sponsors know some of the benefits of event sponsorship
  • Since associations bring many similar people together, attendee demographics do not to be quite as detailed as other events. You should not how many members are in the association and sponsorship at an association event can be highly targeted.
  • The best visual tool for potential sponsors is the sponsorship table, however, some association events do not include one. No matter what, sponsorship package information needs to be given with the price and number of packages available.
  • If a sponsor does not align with the values of the association, the association can always reject potential event sponsors.

2. Technology Conferences

Many conferences can fall under a technology conference. These technology conferences provide a platform where attendees can discover new, exciting technologies in a particular field. They also allow attendees to learn the best protocols and techniques from their peers. Companies that have products and services related to the technology in the conference will be the best for sponsorship.

  • By listing reputable past sponsors, a technology conference can create trust with potential sponsors. If a highly-reputable brand is featured it makes other sponsors more confident in the event’s value, and in turn, more likely to sponsor the event.
  • .The attendee demographic section is very important so that potential sponsors can decide whether they will reach the target audience by sponsoring the conference.
  • Including positive testimonials from attendees and/or sponsors is another way to reinforce confidence in a potential sponsor when it comes to sponsoring your event.

3. Trade Show/Expo

A trade show or exposition is an event where companies in a particular industry can showcase their service or product. An example would be something like a chocolate show or toy show. Some of these types of events are a part of a conference. Along with selling exhibit booths, expo organizers will also sell sponsorships as the main goal for these events is to make money.

  • Most trade shows have an exhibitor and sponsor with more of an emphasis on selling exhibitor booths. The template will focus primarily on the sponsor side.
  • To sponsor a trade show, most organizers need to purchase an exhibition booth as a requisite.
  • There will likely be one booking form for both the exhibition and sponsorship options. Make sure to put the exhibitor booth options first, then the sponsorship opportunities.

4. External Corporate Event

An external corporate event is an event hosted by a company typically with the goal of marketing their product or service to attract customers. Objectives for these types of events are to teach others about and market their own product or service and allow non-competitive partners or sponsors a chance to showcase theirs.

  • In events run by a corporation, sponsors typically get to showcase their products or services like an exhibition setting or special session.
  • Again, showing buying and decision-making power among your attendees is especially important in securing sponsorships for this type of event.
  • Having the ability to reject sponsors is important to include in terms and conditions in case a close competitor wants to sponsor your event.

How to Create an Event Sponsorship Prospectus – 5 Steps

Now that we’ve looked at some examples of prospectuses, let’s talk about what goes into making one.

An event sponsorship proposal or prospectus is an organized summary of your event and the sponsorship opportunities it offers. This proposal can be for either one event or contain multiple different events for your organization.

Because no two events are the same, the type of event, whether it is a conference, educational event, a career fair, nonprofit event, or anything else, will also affect how you write your prospectus. This list will go over common guidelines when creating a sponsorship proposal — it doesn’t have to strictly follow these rules.

The key is to capture the attention of the potential sponsor because they will likely skim the proposal at first, so don’t overcomplicate things — make sure everything is presented clearly. Also, communicate why sponsorship is worth it and why they should trust your organization.

On another note, have someone with at least a little bit of graphic design experience on hand to make it visually appealing. Most event sponsorship proposals are done as a PDF, but some choose to feature the proposal as a webpage on their website. However, a PDF can be preferable to many sponsors, as it is universal and printable.

1. Create an aesthetically pleasing cover

This is the first thing that prospective sponsors will see, so you want to make it visually appealing.

First, the name of the event and the organization that will be hosting the event should be shown, along with the dates of the event. The logo should also be included for branding purposes. You’ll also need to specify when the event will be, so the city, the venue, and/or virtual event format will need to be specified.

For a good example of an event sponsorship cover, check out this prospectus for the WE21 Virtual Career Fair .

2. Build trust by explaining the event and organization

In your event sponsorship proposal, there should be background information about the organization running the event to give sponsors an idea of what the organization does, their history, who any members are, and what their reach is. One good example is the TAPPI Leadership Conference .

Along with information about the organization, general information about the event itself is needed as well. It should answer questions such as: What the event is about? What is the mission? How will it be run? And what will be going on? You can get a good idea of how to do this from the Red Hat Summit .

It can also be helpful to directly outline why a potential sponsor would want to sponsor your event, like in The Successful Bookkeeper Summit’s proposal .

You might also consider including is a message from a major player in the organization or event, as shown in the 4th OECD Meeting . If the event is not virtual, then information about the venue or lodging situation can be given as well, like in the Early Educators Leadership Conference . Testimonials from past sponsors and attendees can also help.

3. Provide information about the attendees

In an event sponsorship prospectus, audience demographics might be the most important information when it comes to finding the right sponsors for your event. Sponsors want to know exactly who they will be marketing to and how many people they can reach.

Specifically, this section should include attendee statistics and demographics, such as numbers on technical roles, location, industry, buying power, and anything deemed important for sponsors to know. For examples of this, check out the proposals for the Red Hat Summit and 365 EduCon .

Equally important, a post-event survey from the previous year’s event can help convince prospective sponsors to secure their spot. These results can include how many attendees interacted with sponsors, how many found a new product at the event, and whatever else you think would be beneficial to show potential sponsors. Check out the Boost Conference prospectus for an example.

Note: if you have multiple events, points 2 and 3 may have to be combined into one page or an overall description of all events.

4. Describe the sponsorship opportunities being offered

This section of the event sponsorship proposal is where you display what sponsorships are available to prospective sponsors. This can be done using either tiered packages, a-la-carte options, or a combination of both.

Tiered packages are usually displayed in two different ways. An efficient way to do this could be with a matrix table that includes all the packages as the columns and the packages’ features as the rows. Cost and availability should also be specified somewhere in the table. You can view the event proposals for The Arc for an example of how this might look. The other way to display sponsorship packages is to just list all the relevant info out under the package name, like MICCAI ’s event sponsorship prospectus.

Further, a-la-carte sponsorship opportunities can work in three ways.

  • They can be add-ons to be purchased along with a sponsorship package as a customization option. (Ex. Fire-Rescue Canada ’s event sponsorship example)
  • Rather than offering sponsorship packages, they can stand alone and be purchased separately. (Ex. Boost Conference ’s sponsorship proposal)
  • A sponsorship package can be assigned based on what sponsorship opportunity is purchased. (Ex. ACS Spring 2024 ’s event sponsorship example)

Info that should be included in the offered sponsorship opportunity description are things like where the sponsor will be visible, how the sponsor will be involved, how many registrations are included, what networking opportunities there are, what is included post-event, and more. After looking through some of our examples, you can see the possibilities are almost endless. Try reviewing the options in the examples to figure out which are best for your event.

5. Conclude with contact information, terms, and a booking form

Once the sponsor is convinced and excited to partner with your event, you need to give them a way to move to the next steps. The contact details you collect are up to you, but you should get a contact name, company name, email, and website. You can also collect payment information right on the form.

Then, include a checklist for the sponsorship opportunities that prospective sponsors can fill out, like in the OECD Meeting event sponsorship example. You’ll want to include terms and conditions and/or rules and regulations and definitely include the cancellation policy with details about any refund compensation.

Lastly, include contact information for the prospective sponsors to send their booking form and ask any questions about surrounding your event, organization, and sponsorship.

How to Write a Sponsorship Proposal

Now that you have found a great template for your proposal, you can start writing it. Here are a few basic tips to help you write the perfect sponsorship proposal.

Do Your Research

Understanding your client’s business and their target audience is the key to writing a winning proposal. Do proper research to find out what type of sponsorships they’ve done in the past and also research their competition to convince your clients why your event is the perfect opportunity to stand out from the competitors.

Share Your Mutual Marketing Objectives

Write about what kind of marketing objectives you’re aiming to achieve with your event so that the sponsors can understand how it’s beneficial for them. Your event and the client might have the same target audience so help them see your vision with your proposal.

Show Off Statistics and Data

If you’ve hosted events before, be sure to include stats and data from your past events in your proposal. Even if it’s your first event, showcasing data about your current user base can help solidify trust with your potential sponsors.

Include Special Benefits

A great way to win over a potential sponsor is to offer them special perks and benefits. For example, you could offer to give discounted ticket prices for their clients. Or special VIP packages with more benefits.

Use a PowerPoint Presentation

Including a slideshow presentation with your proposal is a great way to provide a summary of your proposal. It will also help present your proposal in visual form with photos from your past events to make the presentation more enticing.

The best sponsorship proposals are concise summaries of why your potential sponsor should invest their resources in your event. To be effective, sponsorship bids need to be convincing, well-written , and organized into sections for easy reading.

This example sponsorship proposal template contains pre-written, professional sections that are ready to use or switch out with text of your own.

The very first section of your sponsorship proposal should be a well-designed, eye-catching cover. Next comes a sponsorship letter to sell your potential sponsors on why they should support your event/fundraiser/initiative. Then include a detailed explanation of what deliverables sponsors can expect to receive from you, and a section about who you are and why your team is the best for the job. Finally, be sure to include the all-important pricing, terms, and sign-off section to close the deal.

Because then you'll be flying blind! Sending sponsorship decks as PDFs gives you no insight into what happens with your proposal after it's in your prospective sponsor's hands.

Proposify's proposal software lets you send your sponsorship agreements online. That means you will be able to track exactly how your pitch is progressing from the second you send it to the minute your new sponsor signs on the dotted line.

Corporate sponsorship bids follow all the same rules as conventional sponsorship. While it's natural to want to default to a more professional, formal (and by nature, more toned-down and boring) pitch document, remember, we're all human! There's no reason a professional sponsorship package can't be well-designed, complete with images and video, or include an emotional cover letter designed to tug at the heart strings. Not only will it stand out from the other boring proposals, but it will help create a stronger connection with your potential sponsors.

There are many ways to send a sponsorship proposal to a client. But some are far more efficient than others. The best and most efficient way is to email your client a link to an online proposal document.

That way, large files won't get stuck in your prospect's spam folder, there's no need to download anything, and they (and you) won't need to mess around printing, signing, scanning, or sending physical documents ever again!

A sponsorship proposal is a document submitted by a not-for-profit agency, charity, foundation, or event services company to a potential sponsor. It is a sales document designed to persuade and convince that prospective sponsor why they should invest in their event, initiative, fundraiser, or program.

Data from millions of proposals shows that the most successful sponsorship proposals are around 11 pages long. Those 11 pages are then best organized into 7 sections. Each section serves a purpose in telling your story, and they're all included in this free sponsorship proposal template.

A successful sponsorship pitch deck must include everything your potential client needs to make an informed decision. Remember to only include essential information so they don't get distracted by unnecessary details.

Some sponsorship proposal must-haves include a persuasive sponsorship letter or executive summary, a compelling description of your event or initiative, a description of what sponsors will get in return for their investment, and clear terms and conditions.

When submitting a sponsorship request, it's important to let your story shine through. Your story will help make your proposal stand out from the crowd and stick in the mind of a potential sponsor.

Don't be afraid to talk up what makes you and your event or initiative different. Do this by clearly describing what you do, and why you're the best at it. Don't sell yourself short, either. The best way to do this is by presenting clear pricing options

Electronic signatures are the modern way to capture signatures for business. They're secure, legally-binding, and with Proposify, completely free. That means no more printing PDFs or Word docs just to sign with a pen, scan it, and send it back. Every Proposify proposal template includes our free esignature tool. Forget the printing, plug-ins, and downloading, and get your deals closed faster, from anywhere.

What Is a Sponsorship Proposal?

A sponsorship proposal is an offer or a pitch that an individual or organization sends to a prospective sponsor (another individual or organization) with an aim to win a sponsorship deal. The business proposal sender presents their best presentation with a persuasive outline of objectives and counter-offer to gain the sponsor’s support of their cause or activity.

The Balance Small Business puts down reasons  why you should include sponsorships on your marketing strategies . The majority of these reasons center on increasing marketing reach, being closer to people through awareness, and generating exposure. These are significant twigs of a bigger branch when it comes to marketing—attention. Every promotional tactic are geared towards grabbing the audience’s attention. Without a doubt, sponsorships do that exceptionally well.

How to Write a Sponsorship Proposal

Based on the definition, you need to write not only a proposal but a persuasive paper on why they should partner with you. Writing is challenging enough by itself, and a persuasive flavor would increase its difficulty. Ease up and follow the steps below on how you can effectively write a sponsorship proposal:

1. Firmly Settle Your Offers

If you’re planning to present a sponsorship proposal to your prospective sponsors, make sure that you’re ready with your offers. The heart of your proposal lies in what you have for them. Your sponsors would base their decision on how you’re going to help them in exchange for their support. Assess yourself and your services. Ask yourself, “What can I do, and what do I have to make them want to work with me?” If you’re a social media influencer, your huge following can help them expand their audience. If you’re an organizer, you can highlight your connections and skills in event management on your event sponsorship proposal .

2. Do Your Research

Sending a proposal to a sponsor that you barely know is something that shouldn’t do. Not only is this impersonal and insincere, but this will also affect your proposal’s quality. Do a little research on your target sponsors. List down their line of industry and identify their needs. Would they crave for an event exposure? Would they want a testimonial shoot? Would they agree if you offer to test their products? To help you generate answers to these questions, flip through their print ads or observe how they present themselves on social media. Is there something you find lacking in their marketing plan ? Doing this helps you customize your offers according to your observations. This allows you to make a proposal that resonates with their needs well.

3. Establish Your Needs

Knowing what you want is as important as knowing what you can give. Make sure that your proposal presents your needs in specific detail. Even if it seems a lot, lay them all down and present them all briefly and descriptively. If you’re asking for an athlete sponsorship, specify if you want monetary funds or if you want to showcase a sportswear from their collection. If it’s a corporate sponsorship proposal for a charity and would like to be supported with school supplies for the children, make a detailed checklist of the different items. Doing this helps your sponsor decide if they’re capable of fulfilling your requests or if they’ll suggest a negotiation.

4. Discuss How You’ll Measure Success

The sponsorship agreement doesn’t just end because all parties involved have each other’s end of the bargain. More often than not, your sponsors would want an evaluation that their sponsorship has resulted in something valuable. This is something that needs your sponsors’ input. Discuss with them your standards of success and ask for their perspective. Since sponsorships are often rewarded with marketing exposure, most businesses would offer to measure their social media’s increase in reach and website subscriptions. This way, you’ll be able to determine how your combined efforts came to be.
