ImageCon was a success, in part, because we secured high-quality speakers and focused on providing true value to attendees by creating sessions to optimize their usage of the Cloudinary platform to improve their business. We featured customers in the content by doing customer spotlights. We also improved the production level of the summit by partnering with an agency.
I am proud we were able to pull off a high-quality event of this scale while managing 30 other events for the year.
Prior to the pandemic, our hosted event series consisted of in-person dinners and intimate happy hours. We wanted to recreate these virtually, without making them feel like webinars. We succeeded, in part, because we invested in high-quality talent to attract participants and create fun, memorable moments we probably could not have pulled off in-person.
We also took pains to make the events as easy as possible to attend, for example, by mailing guests meal kits or drink kits with everything they needed to participate. Of course, everything was branded, right down to the salt and pepper. We know our attendees’ time is precious, so we encouraged them to involve their family and were sure to include enough food and/or drink to share.
After the experience, we broke out into small groups, allowing people to network with peers and Cloudinary team members, who led discussions on relevant industry topics. Thus, attendees topped off a great culinary or cocktail experience with valuable learnings that could help their business. In fact, I see us continuing with some of these virtual events even after we have resumed in-person ones.
Our on-demand event content is now a powerful sales enablement tool for our sales team, who share session recordings with prospective customers, as well as existing ones who are considering adding on a new capability. We will continue to measure the performance of this content.
For the hosted events, we evaluate success by measuring pipeline acceleration. So, we consider where event guests are in their consideration process before attending the event. We use the event, and event follow-up, to help move the prospect or customer to the finish line. We usually see prospects who engaged in marketing campaigns were more likely to close, and close faster, than those who did not attend an event.
While this is harder to measure, we know our event series keeps the Cloudinary brand top of mind and deepens our relationship with customers. We document the positive feedback we receive from attendees and sales reps for internal use and marketing purposes.
Survivor Mode
Another challenge was creating an event strategy against a backdrop of so much uncertainty. I have seen industry colleagues invest resources in planning in-person events, only to have to rejigger in the final hour. I made the decision from the onset of the year to plan for virtual events, given our small team and resources. This allowed us to create more effective and engaging virtual events from the start and maximize our budget.
Nothing beats in-person events, and I am excited to be moving forward with these in 2022. But I plan to continue with digital and hybrid events, as well, for a number of reasons. When done right, they can be more memorable than in-person ones, and certainly more convenient. They also allow me to engage people across a wider geographic region (all of Europe for example or across the US), which leads to cost-savings and unique and widened interactions for our attendees.

According to EventMB , finding sponsors is the second biggest logistical challenge when it comes to organising events.
Providing useful information as a magnet for potential sponsors is one approach through which many conferences have found success. However, deciding what kind of information to include in a sponsorship proposal, and how to design it so that it’s clear and appealing to your potential partners is a challenge onto itself.
As such, we’ve scoured hundreds of conference websites to show you some best-in-class sponsorship prospectuses to help inspire your set up and hopefully help you boost the number of sponsorship requests you get.

As you can see above, the increased readability that comes with putting your sponsorship tiers in a table means potential supporters of your conference or event can get all the information about the benefits you’re offering at a glance, something this example does splendidly.

However, even if these people fall into the personas and demographics that the sponsor companies are used to, they might not be returning attendees. Not, that is, if they had previously been dissatisfied with the content or production of the conference.
To circumvent that, J on the Beach have also shared the results of a survey they shared with participants from their past events, something organisers could consider leveraging to bolster their own events’ appeal:

The Tech Budapest Conference Series is a little different to the rest of the conferences in this line-up. As the name would suggest, it’s not a single event, and rather a collection of them.

Again, this helps potential sponsors to see if there are any similar companies to theirs opting into partnering with this event. Such a presence presents a lucrative opportunity for that company to get involved with an audience proven to be relevant to their interests.

A word of caution rather than recommendation on this point. For past few years, many , many articles sharing tips and extensions that can block mail:to links have emerged.
For me, there’s nothing more frustrating than waiting for the default email client on my machine to open, slowly chug towards being operational, and then asking me if I’m absolutely sure I want to close it.
I haven’t had to deal with that in the recent past because of tutorials like the ones I highlighted above, and I’m sure a lot of people are in the same boat as me. Furthermore, as a marketer, I’m always aware that mail:to links aren’t that easily trackable, meaning it’s hard to get a grip on how successful they are if you choose to incorporate them into your sponsorship drive.
Other than being hard to measure and a bit irksome for your visitors, they can often get overlooked, meaning it might be worthwhile having a think about an alternative like the many lovely options we’ve seen.

The goal of most association events is to network and increase their membership. Many of these events limit the number of sponsors they have so sponsorship opportunities are usually limited. This also helps create a sense of scarcity and will make potential sponsors reach out much quicker.

- Many associations already have sponsors who partner with them. Typically, if an association has an event that needs sponsors, they will reach out to their current partnered sponsors first.

Some of these types of events are a part of a conference. Along with selling exhibit booths, expo organizers will also sell sponsorships as the main goal for these events is to make money.
- Most trade shows have an exhibitor and sponsor with more of an emphasis on selling exhibitor booths. The template will focus primarily on the sponsor side.
- To sponsor a trade show, most organizers need to purchase an exhibition booth as a requisite.

An external corporate event is an event hosted by a company typically with the goal of marketing their product or service to attract customers. How to Create an Event Sponsorship Prospectus – 5 Steps
Now that we’ve looked at some examples of prospectuses, let’s talk about what goes into making one.
An event sponsorship proposal or prospectus is an organized summary of your event and the sponsorship opportunities it offers. This proposal can be for either one event or contain multiple different events for your organization.
Because no two events are the same, the type of event, whether it is a conference, educational event, a career fair, nonprofit event, or anything else, will also affect how you write your prospectus. This list will go over common guidelines when creating a sponsorship proposal — it doesn’t have to strictly follow these rules.
The key is to capture the attention of the potential sponsor because they will likely skim the proposal at first, so don’t overcomplicate things — make sure everything is presented clearly. Also, communicate why sponsorship is worth it and why they should trust your organization.
On another note, have someone with at least a little bit of graphic design experience on hand to make it visually appealing. Most event sponsorship proposals are done as a PDF, but some choose to feature the proposal as a webpage on their website. However, a PDF can be preferable to many sponsors, as it is universal and printable.
1. Create an aesthetically pleasing cover
This is the first thing that prospective sponsors will see, so you want to make it visually appealing.
First, the name of the event and the organization that will be hosting the event should be shown, along with the dates of the event. The logo should also be included for branding purposes. You’ll also need to specify when the event will be, so the city, the venue, and/or virtual event format will need to be specified.

2. Build trust by explaining the event and organization
In your event sponsorship proposal, there should be background information about the organization running the event to give sponsors an idea of what the organization does, their history, who any members are, and what their reach is. One good example is the TAPPI Leadership Conference .
Along with information about the organization, general information about the event itself is needed as well. It should answer questions such as: What the event is about? What is the mission? 3. Provide information about the attendees
In an event sponsorship prospectus, audience demographics might be the most important information when it comes to finding the right sponsors for your event. Sponsors want to know exactly who they will be marketing to and how many people they can reach.

Note: if you have multiple events, points 2 and 3 may have to be combined into one page or an overall description of all events.
4. Describe the sponsorship opportunities being offered
This section of the event sponsorship proposal is where you display what sponsorships are available to prospective sponsors. This can be done using either tiered packages, a-la-carte options, or a combination of both.
Tiered packages are usually displayed in two different ways. An efficient way to do this could be with a matrix table that includes all the packages as the columns and the packages’ features as the rows. Cost and availability should also be specified somewhere in the table. You can view the event proposals for The Arc for an example of how this might look. The other way to display sponsorship packages is to just list all the relevant info out under the package name, like MICCAI ’s event sponsorship prospectus.
Further, a-la-carte sponsorship opportunities can work in three ways.
- They can be add-ons to be purchased along with a sponsorship package as a customization option. (Ex. Fire-Rescue Canada ’s event sponsorship example)
- Rather than offering sponsorship packages, they can stand alone and be purchased separately. (Ex. Boost Conference ’s sponsorship proposal)
- A sponsorship package can be assigned based on what sponsorship opportunity is purchased. (Ex. ACS Spring 2024 ’s event sponsorship example)
Info that should be included in the offered sponsorship opportunity description are things like where the sponsor will be visible, how the sponsor will be involved, how many registrations are included, what networking opportunities there are, what is included post-event, and more. After looking through some of our examples, you can see the possibilities are almost endless. Try reviewing the options in the examples to figure out which are best for your event.
5. Conclude with contact information, terms, and a booking form
Once the sponsor is convinced and excited to partner with your event, you need to give them a way to move to the next steps. The contact details you collect are up to you, but you should get a contact name, company name, email, and website. You can also collect payment information right on the form.
Then, include a checklist for the sponsorship opportunities that prospective sponsors can fill out, like in the OECD Meeting event sponsorship example. You’ll want to include terms and conditions and/or rules and regulations and definitely include the cancellation policy with details about any refund compensation.
Lastly, include contact information for the prospective sponsors to send their booking form and ask any questions about surrounding your event, organization, and sponsorship.
