How To Present a PDF Like a PowerPoint

Learn to present a PDF in full-screen mode like you would a PPT file or convert it to PPT for easy presenting.

You can present a PDF as if it were a PowerPoint presentation in two ways. You can either open a PDF and view the content in full screen or save the file as a PowerPoint. If you choose the latter, you can then open the file in Microsoft PowerPoint and present it as you usually would. Check out the full instructions for both methods below.

How To Present a PDF Like a PowerPoint Presentation

PDF files make up a large part of our day-to-day lives. They come in the form of contracts and agreements, newsletters, forms, research articles, resumes, and so on. These files highlight the need for a reliable, secure, and powerful PDF reader that can be adopted by Enterprises.

Microsoft Edge comes with a built-in PDF reader that lets you open your local pdf files, online pdf files, or pdf files embedded in web pages. You can annotate these files with ink and highlighting. This PDF reader gives users a single application to meet web page and PDF document needs. The Microsoft Edge PDF reader is a secure and reliable application that works across the Windows and macOS desktop platforms.

Prerequisites, support, and constraints

The following table shows which channels and versions of Microsoft Edge support each PDF reader feature.

Constraints

Note the following constraints for the current PDF reader:

• XML Forms Architecture (XFA), is a legacy format of forms that isn't supported in Microsoft Edge.
• Documentation related to Accessibility scenarios that currently aren't supported can be found on the Microsoft Accessibility Conformance Reports blog.

The PDF reader, built into Microsoft Edge, comes with the basic reading and navigation features, as Zoom, Rotate, Fit to page/width, jump to page, and search, among others. They can be accessed through a pin-able toolbar at the top of PDF content. This section gives an overview of some important functions. The next screenshot shows the PDF reader toolbar.

Table of contents

Table of contents lets users easily navigate through PDF documents that have a table of contents. When a user clicks the Table of contents icon, a navigation pane that shows a list of the labeled sections and subsections in the PDF document is shown. The user can then click any of the labels in the pane to navigate to that section of the document. The pane stays open for as long as needed and can be closed when the user wants to go back to reading the document. The next screenshot shows the navigation pane for an open document.

Microsoft Edge supports different views for PDF documents in our Dev and Canary channels. Users can change the layout of a document from a single page view to two pages that are displayed side by side. To change how the PDF document is being viewed, users can click the Page View button in the PDF toolbar and then choose either view they want to use. The two page view is shown in the next screenshot.

Caret mode browsing

Caret browsing is available for PDF files opened in Microsoft Edge, which means that users can interact with PDF files using the keyboard. If a user presses the F7 key anywhere in the browser, they're asked if caret browsing should be turned on. If enabled, caret browsing is available for any content opened in the browser, be it PDF files or web pages. When a user presses F7 again, caret browsing is turned off. When caret browsing is active and the focus is on the content, users will see a blinking cursor in the PDF file. The caret can also be used to navigate through the file, or to select text by pressing Shift while moving the cursor. This ability lets users easily create elements as highlights, or interact with elements as links, form fields with the keyboard. The next screenshot shows the popup menu for turning on Caret mode browsing.

Inking on PDF files comes in handy to take quick notes for easy reference, sign, or fill out PDF forms. This capability is now available in Microsoft Edge. In addition to inking PDF files as needed, you can use color and stroke width to bring attention to different parts of the PDF file. The next screenshot shows how a user can add inking to a pdf page.

PDF reader in Microsoft Edge comes with support for adding and editing highlights. To create a highlight, the user simply needs to select the text, right-click on it, select highlights in the menu and choose the desired color. Highlights can also be created using a pen, or keyboard. The next screenshot shows the highlight options that are available.

While reading a PDF file, text notes can be added to text in the file to jot down thoughts for easy reference later.

Users can add a note by selecting the piece of text they wish to add a note for and invoking the right-click context menu. Selecting the Add Comment option in the menu will open a text box where users can add their comments. They can type the comment and then click the check mark to save the comment.

After a note is added, the selected text will be highlighted, and a comment icon will appear to indicate the comment. Users can hover over that icon to preview the comment or click on it to open and edit the note.

The next screenshot shows a note getting added to highlighted text.

Read aloud for PDF adds the convenience of listening to PDF content while carrying out other tasks that may be important to users. It also helps auditory learners focus on the content, which makes learning much easier. The next screenshot shows a Read aloud example. The highlighting shows the text that is currently being read.

Protected PDFs

Microsoft Purview Information Protection enables users to collaborate with others securely, while adhering to your organization's compliance policies. After a file is protected, the actions users can take on it are determined by the permissions assigned to them.

A license is required for MIP. For more information, see this Microsoft 365 licensing guidance .

These files can be opened directly in the browser, without the need to download any other software, or install any add-in. This capability integrates the security provided by MIP directly into the browser, providing a seamless workflow. You can view MIP Protected files across business tenants. Viewing files using consumer identities currently is not supported.

In addition to MIP protected files, PDF files in Information Rights Management (IRM) protected SharePoint libraries can also be opened natively in the browser.

With Microsoft Edge, users can view MIP protected files saved locally, or in the cloud. If saved locally, the file can be opened directly in the browser. If the file is opened from a cloud service as SharePoint, the user may need to use the "Open in browser" option.

If the profile that the user is logged into Microsoft Edge with has at least view permissions to the file, the file will open in Microsoft Edge.

View and validate certificate-based digital signatures

In this digital world, it becomes important to establish the authenticity and ownership of the content in the document. Certificate-based digital signatures are commonly used in PDF documents to ensure that the content in the document is the same as what the author intended it to be, and has not been changed. With Microsoft Edge, you can view and validate certificate digital signatures in PDFs.

Accessibility

The PDF reader comes with support for Keyboard accessibility, High contrast mode, and screen reader support across Windows and macOS devices.

Keyboard Accessibility

Users can use navigate to different parts of the document that a user can interact with, such as form fields and highlights, using the keyboard. Users can also use Caret mode to navigate and interact with the PDF files using the keyboard.

High contrast mode

PDF reader will use the settings defined at the operating system level to render PDF content in high contrast mode.

Screen reader support

Users can navigate through and read PDF files using screen readers on Windows and Mac computers.

Security and reliability

Security is among the most important tenets for any organization. PDF reader security is an integral part of the Microsoft Edge security design. Two of the most important security features From a PDF reader perspective, two important security features are process isolation and Microsoft Defender Application Guard (Application Guard).

Process isolation. PDFs opened from different web sites are completely process isolated. The browser doesn't have to communicate with any websites, or PDF files opened from another source. PDF browsing is secure from any attacks that plan to use compromised PDFs as an attack surface.

Application Guard. With Application Guard, admins can set a list of sites that are trusted by their organization. If users open any other sites, they are opened in a separate Application Guard window that runs in its own container. The container helps protect the corporate network and any data on user's computer from being compromised. This protection also applies to any online PDF files that are viewed. Further, any PDF files that are downloaded from an Application Guard window are stored, and when needed, re-opened in the container. This helps keeps your environment secure not just when the file is downloaded, but through its whole lifecycle. For more information, see Application Guard .

Reliability

Because Microsoft Edge is Chromium-based, users can expect the same level of reliability that they're used to seeing in other Chromium-based browsers.

Microsoft is testing a new option that will make it easier to use Edge for presenting PDF files.

With a simple click, the web browser will automatically fit the content of the PDF to the screen and allow us to scroll through its pages. A practical dynamic for presentations or when we share the screen in a video call.

New option for PDF files in Microsoft Edge

Microsoft Edge has many features that make it easy to edit and view PDF files from the browser. For example, we can add text, use different brushes to draw, highlight with markers, take a screenshot, adjust the width of the sheet, among other options.

Or we can enable the “read aloud” feature using different voices and speeds. And a new option will be added soon that will make it easier to submit PDF files. As a user on  Reddit  shows , Edge is testing a new option for PDFs that allows you to put them in a new full-screen mode.

When we use that option, Edge will automatically fit the PDF to full screen and with the mouse we can scroll through the file. And of course, when we have the PDF in full screen, the page view we have chosen will be respected.

A practical dynamic if we want to make a presentation from the browser, since it will facilitate the visualization of the PDF. The audience will not see the PDF reader toolbar options, nor the rest of the web browser options.

You will not find this new feature that allows full screen mode to view PDF files in the stable version of Edge. At the moment, it is part of one of the features being tested in the Microsoft Edge Canary release.

So we will have to wait for Microsoft to implement this new full screen mode in one of the future updates of the stable version.

Yes, the new version of Microsoft Edge comes with a PDF reader, and these are the steps to get started.

Alongside a new rendering engine based on the Chromium open-source project developed by Google, Microsoft Edge also comes with a PDF viewer experience that includes the essential tools you need to open and work with PDF documents and forms on Windows 10 .

However, because this is an entirely new version of the browser, you won't be getting every feature intended for the experience. Instead, initially, you'll be getting all the essentials, and in future updates, Microsoft will continue to introduce additional functionalities.

How to make Microsoft Edge default PDF viewer

To make Chromium Edge the default PDF viewer on Windows 10, use these steps:

• Open Settings .
• Click on Apps .
• Click on Default apps .
• Click the Set default by app option.

• Select the Microsoft Edge option.
• Click the Manage button.

• Click the current default app for .pdf files, and select the Microsoft Edge option.

Once you complete the steps, any PDF document will open with the web browser without additional steps automatically.

Microsoft Edge provides all the necessary controls that you'll need to navigate and work with PDF documents.

Opening PDF document

To open a PDF file with Edge, use these steps:

• Open File Explorer .
• Navigate to the folder with the document you want to open.
• Right-click the PDF file, select the Open with menu, and choose the Microsoft Edge option. Quick tip: If you already set the browser as your default PDF reader, double-clicking the document should open on Edge automatically.

After you complete the steps, the document will open in the browser.

Getting around PDF toolbar

While in the document, you'll see the toolbar at the top. If you don't see it, drag the mouse pointer near the edge of the document and click the Pin button on the right to make it always visible.

On the left side of the toolbar, you'll find the current page and the number of pages available in the document. Unlike the reader available in the legacy version, in this release, you won't get a table of contents or search option. However, in the current page field, you can type a page number to jump to another section in the document quickly.

Quick tip: If you need to search the document, you can use the Ctrl + F keyboard shortcut to open the browser search functionality.

On the right side of the toolbar, you'll find the typical Zoom in and Zoom out buttons, a Rotate button that will come in handy when you're working with scanned documents, which often don't have the proper orientation, and a Fit to page option.

In this new version of the browser, you are also getting a Draw button, which allows you to use digital inking to write notes or sketch on the PDF document using a mouse, stylus, or finger. It's currently limited to a single color, but it's still a useful feature for signing PDF documents without the need to install a third-party application.

The Eraser button is available in the toolbar to delete strokes using the drawing option.

Similar to other PDF viewers, you get a Print button to print the document and a Save button to save a copy of the document with the new changes (if applicable).

The PDF viewer available with the Chromium version of Microsoft Edge is still under development, and it's not as complete as the experience found in the legacy version. For instance, the inking functionality only includes one color, but in future releases, more colors are expected to be available.

Also, the Chromium version of Edge includes the ability to select and highlight text using the context menu. And you can save or print the document with the highlights, but it's a feature coming in a future update.

If you use Microsoft Edge Chromium, you can also fill out PDF forms on the web, or locally stored on your computer, and then save them for printing.

To edit a PDF document, use these steps:

• Open Microsoft Edge .
• Navigate to the PDF form. Quick tip: If you need to fill out a form locally stored on your computer, right-click the file, select the Open with menu, and choose the Microsoft Edge option.
• Fill out the form with the required information.
• Use the drop-down menus to complete specific fields (if applicable).

• Click the Save button to save a copy of the form filled out.
• (Optional) Click the Print button to print out the form filled out.

Once you complete the steps, the form will save on your device or print with the information you specified.

If you need to print a PDF document or form, Microsoft Edge makes it an easy task.

To access the print settings on Microsoft Edge, use these steps:

• Navigate to the PDF document that you wish to print.
• Click the Print button.

• Use the "Printer" menu to select the printer source. Quick tip: You can select the Save as PDF to print the document as a PDF file, which you can view or print in the future.

• (Optional) Use the Copies option to specify the number of prints for the same document.
• (Optional) Use the Pages option to determine only to print individual pages of the PDF document.
• (Optional) Use the Color option to select whether to print the document in colors or black and white to save ink.
• (Optional) Use the Print on both sides option to print to save paper by printing on both sides.
• Click the More settings options to access other options, such as paper size, scale, and more.

After you complete the steps, the print job will be sent to the printer you specified.

Wrapping things up

Although starting with the first stable release, Microsoft Edge includes the tools to view and work with PDF files; you're only getting an experience that consists of some basic features to navigate, annotate, save, and print.

The good news is that the browser is no longer tied to the Windows 10 release schedule, which means that the company will be able to push updates to improve the PDF feature and other parts of the browser more quickly. For example, in future updates, some expected changes include more colors for annotating, highlighting text (currently only available in the Canary release), read aloud for PDFs, and more.

Also, remember that the reader isn't meant to replace full-blown PDF software. There will always be the need for third-party applications for more advanced editing, such as adding watermark, comparing changes, exporting files as Office documents, and other features.

With the latest feature updates, you can now do a lot more with your PDF in Microsoft Edge like, customize different views, take notes, and even have your PDF read aloud to you!

Text highlighting and handwritten notes

Annotations in the browser is now extended to PDFs as well. Look for the “Add notes” button next to browser address bar to move into the annotations mode. The annotations toolbar has all the tools to highlight text or use Windows Ink to write on your documents. The toolbar also provides different colors for inking and the “Touch writing” button can be used to switch between annotating and scrolling and panning your document. And, if you’re not pleased with your annotation – the Eraser tool is there to remove things.

Pop-up menu and text notes

You can get to some of the features quickly through the pop-up menu that appears when you select any text. Once you select text, you will get an option to highlight the text quickly or add a text note. Click on the “Add a note” button and a text note will pop-up.

Easy navigation through the document

The PDF toolbar offers all the necessary tools to view PDFs. You can click/tap anywhere on the screen to invoke and dismiss the toolbar. You can enter a page number to jump to any page of the document or use “Table of contents” to jump to a desired section. “Search” can help you find all the occurrences of a text in the document and then easily jump to the locations.

Reading modes to suit your requirements

You can use “Rotate” to rotate those upside-down documents and use “Layout” to choose between different reading layouts including one-page and two-page layouts. Like to have freedom when it comes scrolling – then you’ll like the continuous and page-wise scrolling options. The “Full screen” option, in the browser menu, allows for distraction-free reading of your documents and books as well.

Pro tip: Try opening a PowerPoint presentation saved as PDF in single page layout with continuous scrolling off and go full-screen. You are now in presentation mode right from your browser.

PDF form filling

Every now and then we encounter forms to be filled which are in PDF format – and now you can fill them out within Microsoft Edge. You can even use the inking feature to sign the forms with your handwriting.

Now you don’t have to read those long research documents or books yourself because the browser will read them to you. Look for the “Read aloud” button in the toolbar to start reading your PDFs.

Ask Cortana*

Select any text within your PDF and click “Ask Cortana” and Cortana will give you all the necessary information of your search without even having to leave the browser tab.

If your document does not contain editable fields, you can use Edge’s PDF editor to insert text boxes and manually input any missing information. Here are the steps for the same.

Step 1: In the PDF editor, click the Add Text icon in the toolbar at the top.

Step 2: Move your cursor to an area where you want to write text and click to create a text box. You can adjust the text size, spacing, or color as you see fit.

Similarly, you can use the freehand drawing tool in Edge’s PDF editor to annotate, add shapes, and even sign your PDF. To do so, click the Draw option in the toolbar.

Click the arrow next to the Draw option to change the line color and thickness to your liking. If you want to remove a stroke, use the Erase tool next to it.

How to Highlight Text in a PDF

The PDF editor in Edge also features a highlighter tool that allows you to mark specific texts and paragraphs within a document. Here’s how to use it.

Step 1: Open your document in Edge and click the highlighter tool in the toolbar. Then, click and drag your cursor over the text or section to highlight it.

Step 2: Click the arrow next to the highlighter tool to adjust its color and thickness. If you use this tool to only highlight text, enable the toggle next to Text only highlight .

How to Add Comments to a PDF

With Edge’s PDF editor, you can also add comments to make notes about specific sections in a PDF. Use your cursor to select the text or section to which you want to add a comment. Right-click on your selection and select Add comment from the context menu.

Type in your comment and click the right checkmark to add it.

Once added, you can click the tiny comment icon to view the comment. You can click the three-dot menu icon to edit or delete the comment.

How to Save or Print Your Edited PDF in Microsoft Edge’s Built-In PDF Editor

After you are done editing your PDF, you can choose to save or print it directly from Edge’s built-in PDF editor . To save the edited PDF, click the Save icon at the top-right corner. Specify where you want to store the document and click Save .

Alternatively, if you want to print the PDF, click the Print icon at the top-right corner. Select your printer using the drop-down menu and click the Print button.

Now that I have my edited pdf and have saved it, I would like to embed the edited pdf in a word document, but I can only choose Adobe pdf and it does not show the edits I made. I have done this successfully before, but I don’t remember how.

After you use this editor and “save” the edits, the changes//edits are not permanent. If you reopen the file, you can still use the eraser to delete the added text etc.

The Printing Trick. To make the added text, etc., what you want to do is print to PDF the document, and then the added text, etc., will be permanent.

There will be times that you have to markup a PDF , highlight specific text, or annotate something. Instead of searching for a dedicated PDF reader, you can perform all of that inside the Microsoft Edge web browser .

You don't need to download or install any add-ons or extensions to use Microsoft Edge's PDF features. You can use them with most PDF files online, as well as those saved on your Windows 10 PC and Mac.

The PDF reader feature in Microsoft Edge lets you annotate both offline and online PDF files. First, open any online PDF or a web page saved as a PDF in the Edge browser. You'll see the PDF toolbar when the PDF file opens.

Click on the downward arrow next to the pen tool to pick a different color and adjust the pen's thickness.

Hold down the left-click mouse button to start annotating anywhere in the PDF. If you want to remove a stroke or some scribbles, click the eraser button in the PDF toolbar.

Once you finish annotating, click the save button that looks like a floppy disk to save the changes and download the online PDF file.

Highlighting important text in any PDF file is easy. First, open the PDF file in which you'd like to highlight text. When the PDF toolbar loads, click the highlighter tool button or the down arrow next to it to pick a color.

Hold down the left-click mouse button to highlight text.

Let's say that you want to switch the highlight color of the text that you've already highlighted. Right-click on the highlight, select the "Highlight" option, and pick a new color (or none to remove the highlight).

Once you're done, click the save button to add all the changes to the PDF file.

You can include notes or comments with the highlighted text for reference purposes in the PDF files in Edge. That could be a remark, a comment about changing text, or a link.

Right-click on the highlighted text and select the "Add Comment" option.

That brings up a comment box (which looks like a Sticky note) for you to add text or links in.

After adding text or a link in the comment box, click the checkmark button to save your comment.

When you hover the mouse pointer over the comment counter, it will pop out a card with the comment text.

There's no obvious way to identify fillable PDF forms online without opening them. Such being the case, you have to open any online PDF form to check whether it's fillable or not in Microsoft Edge.

Microsoft Edge offers visual indicators to differentiate that, with highlighted boxes in fillable (or editable) PDFs online.

Click on those boxes and type any text. If you don't see any highlighted boxes, you can't edit the PDF form in Microsoft Edge.

But you can still annotate them and highlight the text (as shown above).

How to Present a PDF like a PowerPoint

With Adobe Acrobat Reader, you can present a regular PDF in similar fashion to a PowerPoint presentation.

Format presentation

• Under the "Edit" tab, click "Preferences".
• Under the "Full Screen Navigation" Section, you can loop the presentation by checking the "Loop after last page" option.
• You can also set the "speed" of the presentation with the "Advance every [ ] seconds" option.
• It is recommended to leave the "Escape key exits" option checked in order to quit the presentation early.

Present PDF

• Under the "View" tab, click "Full Screen Mode". This will start the presentation.
• In order to end the presentation before it's finished, press Esc
